As we grow, we’re looking for a proactive, organised, and friendly Nursery Administrator to support our daily operations and help us maintain our high standards across every touchpoint.
Your Role at a Glance
As Nursery Administrator, you’ll be a key part of the operations team based primarily at our SE1 Head Office. However, you’ll also be present on nursery sites when conducting tours and supporting key activities.
This role blends administrative efficiency with warm, people-first communication — ensuring families feel supported and our team runs smoothly behind the scenes.
As a key part of our admin team, you’ll ensure smooth daily operations behind the scenes while being a warm and professional first point of contact for families. You'll support everything from recruitment and HR coordination to occupancy reporting, making a real impact on how our nursery runs each day.
An important part of this role will be working closely with our current Nursery Family liaison and nursery admissions and our Nursery Executive. We are looking for someone who values teamwork, open communication and mutual support, working together to share responsibilities, provide cover when needed and ensure that the administration and recruitment functions continue to run smoothly. Both administrators will be expected to support one another and work collaboratively as part of the wider team.
Key ResponsibilitiesPhone & Email Communications
- Manage our virtual landline and respond to enquiries via phone and email throughout the day.
- Provide friendly, professional and timely communication to parents, prospective families and staff.
- Monitor and respond to voicemails and follow up on outstanding enquiries.
- Work collaboratively with our current Nursery Family liaison and nursery admissions to ensure enquiries and communications are managed efficiently and covered when required.
Daily Admin & System Updates
- Maintain and regularly update Famly, DocuSign, spreadsheets and waiting lists.
- Ensure records and information are accurate, organised and up to date.
- Stay on top of pending voicemails, tour follow-ups and new enquiries.
- Work together with our current Nursery Family liaison and nursery admissions to divide administrative responsibilities effectively and provide mutual support during busy periods or staff absence.
Tour & Enquiry Management
- Coordinate and support private nursery tours across our nursery settings.
- Follow up with prospective families following tours and enquiries.
- Maintain accurate records of enquiries and admissions activity.
- Collaborate with our current Nursery Family liaison and nursery admissions to ensure all prospective families receive a consistent, professional and timely experience.
Recruitment & HR Coordination
- Demonstrable experience managing or supporting the full recruitment process, ideally within a nursery, childcare, education or similarly regulated environment.
- Coordinate interviews, trial days and candidate communication from initial contact through to appointment.
- Support the recruitment process, including advertising vacancies, reviewing and screening CVs, shortlisting suitable candidates and arranging interviews.
- Assess candidates against job requirements and ensure only suitably qualified candidates progress through the recruitment process.
- Assist with onboarding, documentation and induction planning for new employees.
- Support the completion and tracking of DBS checks, references, right-to-work checks and other pre-employment checks.
- Maintain accurate and up-to-date recruitment trackers, including candidate status, interview outcomes, trial days and onboarding progress.
- Follow up proactively with candidates to ensure recruitment processes move forward without unnecessary delays.
- Work closely with nursery managers and nursery executive to identify staffing requirements and support timely recruitment.
- Communicate professionally with candidates throughout the recruitment process and provide regular updates.
- Ensure recruitment documentation is complete, accurate and appropriately stored.
- Support the recruitment of Early Years Practitioners, Nursery Assistants, Room Leaders, Deputy Managers, Nursery Managers and other nursery staff as required.
- Understand the importance of recruiting staff with the appropriate qualifications, experience and right to work, particularly within an early years setting.
- Be confident working to recruitment deadlines and managing multiple vacancies and candidates simultaneously.
Teamwork & Collaboration
- Work as part of a collaborative administration team, maintaining a positive and supportive working relationships.
- Support each other across daily administrative, recruitment and operational tasks, particularly during busy periods.
- Communicate openly and regularly to ensure both administrators are aware of priorities, outstanding tasks, deadlines and important updates.
- Provide cover and assistance for each other when required, ensuring essential functions continue without disruption.
- Share knowledge, information and best practice to improve the efficiency of the administration and recruitment processes.
- Maintain a team-first approach, recognising that both administrators have shared responsibility for supporting the smooth running of the Head Office and nursery operations.
- Work collaboratively rather than in isolation, with a willingness to step in and assist colleagues when additional support is needed.
Training & Paperwork
- Support the coordination of staff training and development activities.
- Help ensure all relevant staff paperwork, documentation and records are complete and well organised.
- Assist with maintaining training and compliance records.
Availability Optimisation
- Actively monitor and optimise nursery availability.
- Help identify opportunities to fill quieter days and manage nursery capacity effectively.
- Support the team with occupancy and availability reporting.
What We’re Looking For
- Previous recruitment experience would be an advantage, but training will be provided.
- Strong organisational skills with the ability to maintain accurate records, trackers and confidential information.
- Good attention to detail and the ability to manage multiple tasks, candidates and deadlines.
- Confident and professional communication skills, both written and verbal.
- A willingness to learn and develop knowledge of recruitment and HR processes within an early years setting.
- Ability to work closely and collaboratively with the existing Nursery Administrator, sharing responsibilities and providing mutual support.
- A proactive, reliable and positive approach, with the willingness to take on new responsibilities and support the wider team.
- Full training and ongoing support will be provided to the successful candidate to develop their recruitment and HR administration skills.

- Able to work in a fast-paced nursery environment and prioritise recruitment needs effectively.
- Strong follow-up skills with a proactive approach to ensuring vacancies are filled promptly.
- Flexible and willing to step in and support the wider administration team when required.
