Job Summary
We are seeking a motivated and detail-oriented Design & Administration Officer to join our team. This role bridges design, production, and administration to ensure every memorial is completed to the highest standard and delivered seamlessly through our production process.
Ideally, the candidate will demonstrate strong administration skills, creativity and forward thinking by developing your own memorial design ideas and contributing innovative concepts to enhance our range.
Full time – 40 hours per week. Monday – Friday 8:00am – 4:30pm.
Key Responsibilities
- Act as a central point of contact between wholesale, retail, and production teams, ensuring smooth communication and workflow throughout the design and production process.
- Prepare and amend drawings and design layouts to meet customer specifications, ensuring all details are accurate and approved before production.
- Collaborate with retail and wholesale staff to confirm customer requirements and ensure that all designs reflect the correct inscriptions, layouts, and materials.
- Liaise with production staff to guarantee that artwork, stencils, and etchings are correctly prepared and ready for manufacture.
- Oversee and maintain all relevant design files, artwork, and supporting documents to ensure consistency and traceability.
- Plan and organise production packs, ensuring all necessary drawings and information are complete at least two weeks prior to the memorial’s arrival. Whilst also planning into production and organizing of art room orders.
- Support the creation and checking of stencils and etchings, verifying alignment with approved artwork and orders.
- Upload photographs of completed memorials to the company’s CRM system, ensuring accurate record-keeping and communication with wholesale teams.
- Maintain high standards of accuracy, presentation, and professionalism across all design and production materials.
- Processing quotes and orders working alongside our wholesale customers for design orders
- Maintaining quote/order system for all our ceramic products for both retail and wholesale customers
- Restoring and designing test prints from photos for our ceramic products
- Liaising with suppliers for pricing and ordering
- Telephone enquiries and follow-up calls and emails
- General administration as required from team leader and management
- Administrative support for wholesale, retail and the production team.
Skills & Experience
- Basic knowledge of Microsoft packages.
- Good understanding of design principles, including layout, balance, and attention to visual detail.
- Demonstrate strong attention to detail with excellent spelling and proofreading skills to ensure all memorial inscriptions are accurate and error free.
- Manage multiple tasks efficiently, prioritising work to meet deadlines.
- Willingness to learn and develop skills in SolidWorks, SignLab, and Photoshop.
- Strong organisational and time management skills with a proactive approach to forward planning.
- Excellent attention to detail and accuracy.
- Good communication skills to liaise effectively with retail, wholesale, and production teams.
- Ability to work independently and as part of a team in a fast-paced environment.
- Demonstrate effective problem-solving skills to handle challenges calmly and professionally.
Desirable Qualifications
- Experience in a design or production coordination role or a design orientated graduate
- Familiarity with the memorial or stone industry (advantageous but not essential).
- A creative eye and technical mindset for artwork and layout preparation.
- Photoshop experience / knowledge preferred but no essential.
Full training on in-house CRM, SolidWorks & sign lab to be given.
Pay negotiable depending on experience.
