Job Summary
We are seeking a proactive and highly organized Personal Assistant to support Rudby Hall Estates in managing daily operations and ensuring smooth workflow. This dynamic role requires a motivated individual who excels in multitasking, communication, and administrative tasks. As a key partner you will facilitate efficient scheduling, handle correspondence, and coordinate various projects to help drive the renovation of this amazing property from a hotel/commercial property back into a private house and small estate. Your energetic approach and attention to detail will be vital in supporting the other businesses connected to the estate. Bookkeeping skills would be very advantageous.
Duties
- Manage Office calendar by scheduling meetings, appointments, and travel arrangements with precision and flexibility for the family and wider staff.
- Prepare and organize documents, presentations, and reports using Microsoft Office and Google Workspace tools
- Handle incoming calls with professionalism, demonstrating excellent phone etiquette and clear communication skills for a number of businesses operating from the Estate.
- Perform data entry tasks accurately, maintaining up-to-date records in QuickBooks and other relevant systems. Day to day bookkeeping and invoice reconciliation and payment runs
- Coordinate logistics for meetings, events, and conferences, including venue arrangements and catering when necessary
- Assist with administrative projects, including filing, photocopying, and clerical support to ensure operational efficiency
- Maintain confidentiality of sensitive information while providing comprehensive administrative support to the Director
Qualifications
- Proven experience in an administrative or office assistant role with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and familiarity with QuickBooks accounting software
- Demonstrated data entry accuracy and clerical experience with excellent typing skills
- Strong phone etiquette and professional communication abilities
- Ability to prioritize tasks effectively in a fast-paced environment while maintaining attention to detail
- Experience with office management or administrative support/bookkeeping is preferred but not mandatory
- Exceptional organizational skills combined with a proactive attitude to anticipate needs and streamline processes

Pay: £25,420.00-£42,331.48 per year
