Due to continued growth, Amarinth Ltd. is seeking to recruit a Projects Support person to its Contracts Department and thus contribute towards the strategic growth of its business.
Job Purpose
To provide timely and accurate support to the company’s Project and Contract Coordinators through proactive and timely provision of order documentation through the company’s DMS system, regular customer engagement during order progress, and completion of new order set-up through the SHO – Sales Handover platform.
Candidates will need to be competent and comfortable with fulfilling daily workload and priorities, as well as providing key back-office support, including tasks such as preparing progress reports, compiling order documentation, drafting contractual headers and customer response forms on orders and returning documentation on behalf of the company through the Documentation Management System (DMS).
Previous experience of working within an operational department or equivalent would be beneficial, although this is not essential. Of high importance will be the ability to quickly learn the company's DMS, ensuring key priorities and status are visible throughout the lifecycle of an order. There is also a need for daily interaction between the Internal Contracts Team and other internal departments responsible for procurement, engineering and manufacturing.
Other significant skills and attributes required for this role include being planned, organised and driven, with good routine monitoring skills, together with the ability to build relationships with others. Full training and support will be provided through a comprehensive 24 month tailored training and support plan.
Key Result Areas:
- To manage the successful completion of contract documentation through the internal departments of the company, suppliers and customers within the company's DMS or customer designated database.
- Daily review with the Department's Documentation Supervisor of returned contractual documents, initial assessment and processing through the DMS.
- To maintain a controlled overview of documentation volumes and status across a number of live Project and Contract orders.
- To support with the drafting of accurate monthly production schedules and customer progress reports.
- Support the Project and Contract team by proactively highlighting any barriers which prevent critical documents being submitted, milestones achieved or key documentation approval delays.
- Timely and accurate creation of key technical document first revisions, material certificate evaluation and compiling final draft dossiers for engineering or customer approval.
Principle Accountabilities:
- Managing the daily contracts mailbox, completing initial review and allocating to appropriate departments.
- Completing initial CRS – Customer Response Summary on returned contractual documents through the company’s DMS.
- Submitting accurate and timely documentation through the DMS and customer-specific platforms.
- Effective daily communication with the Documentation Supervisor to review priorities and key tasks. .
- Attending weekly progress meetings with customers as support to Project Managers and fulfilling accurate minute and action recording.
- Supporting the timely completion of allocated tasks and system recording of project tasks via the company's DMS and SHO .
- Maintaining the correct due, approval and status dates on individual order documentation within the company's DMS.
- Overseeing the DMS critical document status and highlighting barriers which impact the order manufacturing schedule
- Working effectively with the Procurement Department to highlight any critical barriers impacting the creation or submittal of sub-supplier documents.
- Effective and accurate assessment and review of material certificates on critical components and creation of initial documentation throughout order cycle.
