Job Summary
We are seeking a highly organised and detail-oriented Plant Desk Coordinator to join our team.
Key Responsibilities
- Plant & Equipment Coordination
- Schedule and allocate plant and equipment to meet operational and project requirements
- Monitor availability, utilisation, and location of all plant assets
- Arrange delivery, collection, and transfer between sites
- Logistics & Planning
- Prioritise requests and coordinate plant movements to ensure timely support to operations
- Obtain quotations as required
- Liaise with transport providers and internal teams regarding plant requirements
- Optimise utilisation to reduce hire costs and idle time
- Supplier & Hire Management
- Source plant and equipment from approved suppliers
- Raise hire orders and manage off-hire processes
- Negotiate rates and manage supplier performance where applicable
- Maintenance & Compliance
- Track servicing, inspections, and maintenance schedules
- Ensure all plant complies with safety regulations and legal requirements
- Maintain certification records (e.g., LOLER, PUWER where applicable)
- Administration & Reporting
- Maintain accurate system records for all plant activities
- Produce reports on utilisation, costs, and performance
- Process documentation such as hire agreements, invoices, and delivery notes
- Stakeholder Communication
- Act as a key contact point between site teams, operations, and suppliers
- Provide updates on availability and any delays/issues
- Support continuous improvement of plant desk processes
Skills & Experience
- Proven experience in a plant desk, logistics, or coordination role (construction, rail, or infrastructure sectors preferred)
- Strong organisational and planning skills
- Good understanding of plant and equipment operations
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office and plant management systems
- Excellent communication and negotiation skills
