Overview
We are seeking a highly organised and detail-oriented individual to support the Executive team as an Administrative Assistant to the Company. This role involves providing comprehensive administrative support, managing correspondence, and ensuring smooth daily operations within a professional office environment. The ideal candidate will possess excellent organisational skills, proficiency in relevant software, and a professional demeanour to effectively assist the Director in achieving organisational goals.
Duties
- Manage and maintain and checking sales documents and bank statements
- Prepare and organise documents, reports, and presentations using Microsoft Office and Google Workspace
- Handle incoming correspondence via email, phone, and postal mail with professionalism and courtesy
- Perform data entry tasks accurately within QuickBooks and other relevant systems
- Assist with organising meetings, including booking venues and preparing agendas
- Maintain filing systems both digitally and physically to ensure easy retrieval of information
- Support with administrative projects as required, including research and report compilation
- Ensure all office supplies are stocked and order new supplies as needed
- Uphold excellent phone etiquette when communicating with clients, vendors, and internal teams
Skills
- Proven experience with Office applications such as Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
- Strong organisational skills with the ability to prioritise tasks effectively
- Experience with apple and Microsoft or similar accounting software is desirable
- Previous administrative or clerical experience in an office setting is preferred
- Excellent data entry skills with high accuracy and attention to detail
- Proficient in computer skills
- Good telephone etiquette and professional communication skills
- Ability to adapt quickly to new software or procedures as required by the organisation
