Luxury Event Manager (Administration)
Salary: £30,000 – £33,000 per annum (DOE)
Full-time, Monday- Friday (some weekend work required)
Job Description
We are seeking a highly organised, detail-oriented and customer-focused Luxury Event Manager (Administration) to join our Events Team.
This is an exciting opportunity for someone with a passion for luxury hospitality, exceptional client service and meticulous planning.
As a Luxury Event Manager, you will manage your own portfolio of weddings, private celebrations and corporate events from the point of booking through to final event preparation. Acting as the main point of contact throughout the planning journey, you will provide an exceptional client experience whilst ensuring every administrative detail is delivered accurately and on time.
This is an office-based planning and administration role. Whilst you may occasionally attend menu tastings or support the wider team during key events, the primary focus is managing the planning process and ensuring every event is fully prepared for operational delivery.
Role Requirements
- Previous experience within luxury hospitality, weddings or event administration.
- Exceptional organisational and time management skills.
- Outstanding written and verbal communication.
- Excellent attention to detail.
- Strong customer relationship skills.
- Commercial awareness and confidence discussing budgets.
- Ability to prioritise a varied workload in a fast-paced environment.
- Self-motivated with the ability to work independently and within a team.
- Excellent IT skills, including Microsoft Office and CRM systems.
- Full UK driving licence preferred.
Responsibilities:
Client Management
- Manage your own portfolio of weddings, private events and corporate functions.
- Build strong relationships with clients throughout the planning process.
- Conduct planning calls, menu consultations and final detail meetings.
- Provide exceptional customer service from booking through to event handover.
- Respond to enquiries promptly and professionally.
Event Planning & Administration
- Create bespoke menu proposals and quotations to company standards.
- Produce detailed event paperwork and planning documentation.
- Organise and coordinate client tasting sessions.
- Gather menu selections, dietary requirements and guest information.
- Prepare detailed operational paperwork for kitchen and front of house teams.
- Ensure every event file is complete, accurate and ready for service delivery.
Financial Administration
- Manage client accounts throughout the planning process.
- Prepare invoices and payment schedules.
- Work alongside the Accounts Team to ensure payments are received on time.
- Maintain accurate financial records.
Supplier & Internal Coordination
- Liaise with venues, chefs, suppliers and internal departments.
- Order crockery, cutlery, glassware and hired equipment where required.
- Coordinate planning timelines to ensure every event is ready for delivery.
- Maintain clear communication across all departments.
Systems & Project Management
- Maintain accurate CRM records and client communications.
- Produce menus, proposals and planning documents using company software.
- Work confidently across Microsoft Office, CaterSoft, InDesign, Lightspeed, GiftPro, Eventbrite and OpenTable.
- Support wider administration projects as required.
- Continually look for improvements to systems and client experience.

You're naturally organised, thrive on planning and love bringing together the finer details that create unforgettable events. You're equally comfortable creating proposals, managing spreadsheets, coordinating suppliers and building lasting relationships with clients.
Whilst this isn't an operational event management role, you'll take great pride in knowing that your planning, organisation and attention to detail are instrumental in ensuring every event is delivered seamlessly.
