Teddy Tennis – Kensington & Ealing
Teddy Tennis - Kensington & Ealing, is a leading early-years tennis programme dedicated to introducing children aged 2–7 to the sport through a unique combination of storytelling, music, imagination, and movement-based learning. Operating across Kensington, Chelsea, and Ealing, we work with nurseries, schools, parks, and local communities to make tennis accessible to young children and their families.
Main Duties
Administrative Support
- Provide administrative assistance to various departments including sales, marketing, and operations
- Serve as first point of contact for visitors and mange incoming phone calls and email inquiries for Tennis Icon UK and Racquet Club London and Teddy Tennis with professionalism and efficiency
- Schedule appointments and coordinate meetings across different teams with external partners
- Maintain accurate filing systems and ensure proper document management
- Prepare routine correspondence, memos, and reports as required
- Support financial record keeping by using Xero for invoicing and expense tracking
- Chase outstanding client invoices by email and telephone. Provide a report of cases that need to be escalated for management attention
- Input and manage customer information in company database systems
- Maintain accurate records and assist with data entry projects
- Keeping the racquet club database up to date
Operations Support
- Booking courts for tennis courses and events
- Confirming lessons and trial sessions with clients
- Organising player attendance lists and registers
- Checking and managing coaches’ schedules when required
- Generate basic reports and summaries as requested
- Support inventory tracking and administrative processes
- Assist with order processing and documentation
- Implement and maintain procedures/administrative systems
- Identify and implement new data management processes and workflows
Sales & Marketing Support
- Maintain an active Instagram and Facebook presence through regular content creation, updates, and posting on company and community group pages
- Manage the full newsletter process, from planning and design through to scheduling and distribution
- Manage end-to-end email marketing campaigns from content creation, scheduling, and performance tracking
- Develop and execute WhatsApp promotional campaigns and community marketing initiatives
- Support photography/video content collection at venues
- Design, plan and distribute promotional campaign materials for camps, new courses, and special events across venues
- Assist customers with product and service enquiries while identifying opportunities to upsell additional products and services
- Escalate customer queries to appropriate team members when necessary
- Process customer feedback and route to relevant departments
Office Management
- Coordinate office supplies and inventory management
- Assist with event planning and coordination for company meetings and brand events
- Support facilities management and liaise with building/venue maintenance teams
- Maintain professional office area and always ensure welcoming environment
- Handle mail distribution and courier services
Experience & Skills
- Minimum 3 years of administrative or secretarial experience, retail or customer-facing environments
- Interest in Sport (preferably tennis but not essential)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong typing skills with high accuracy
- Experience with basic office equipment
- Experience using and interacting with social media for commercial gain
- Familiarity with database management and data entry processes
- Familiarity with CRM systems or e-commerce platforms, (WordPress)
- Basic bookkeeping or accounting knowledge
- Previous experience in fast-paced, growing companies

Working Conditions
- Full-time position, 9:00am – 6:00pm, Monday to Friday (hybrid working arrangement). As the business operates seven days a week, the successful candidate will be expected to provide occasional weekend monitoring of customer enquiries, including emails and telephone calls, to ensure a high level of customer service and timely response to urgent matters.

- Some lifting of office supplies and materials may be required
