Alliance Personnel are currently recruiting for Production Administrator to join one of their clients based in Birmingham City Centre.
Purpose of the Role
- The Production Administrator plays a key role in supporting the efficient operation of the Wedding Ring production department.
- The role is responsible for coordinating production administration, material planning, supplier liaison, inventory control, and production tracking to ensure customer orders are delivered accurately and on time.
- Working closely with production teams, suppliers, and internal departments, the Production Administrator helps maintain workflow, manage urgent requirements, and support continuous production efficiency.
Key Responsibilities
- Production Planning & Reporting
- Produce and maintain daily production figures, including previous day output, orders due, quantities ordered, and other key performance metrics
- Run and maintain production planning worksheets to support departmental workflow and capacity planning
- Monitor production schedules and identify urgent requirements to ensure customer deadlines are met
- Generate and manage daily chase lists, locating urgent jobs and ensuring they are appropriately prioritised and tracked
Materials & Supplier Management
- Order all required materials, components, and consumables from suppliers
- Review requirements and separate urgent orders to ensure critical items are prioritised
- Verify that all orders contain the correct vendor codes and supporting information before submission
- Liaise with suppliers to monitor order progress, expedite delayed items, and help prioritise urgent production requirements
- React promptly to scrap or rejected items by raising urgent replacement orders to minimise production delays
- Assist with booking deliveries from suppliers and ensuring incoming materials are received efficiently
- Process and book supplier invoices accurately and in a timely manner
Production Administration
- Carry out general production administration duties using company systems and production software
- Update and manage production workflows through Hub Output and other business systems, ensuring work orders are correctly routed throughout the manufacturing process
- Support the movement of production orders through various stages of manufacture and maintain accurate system records
- Respond to emails, enquiries, and requests from production teams and other departments
Hallmarking & Product Tracking
- Coordinate the preparation and submission of rings for hallmarking
- Organise wedding rings for barrel finishing processes and ensure products are correctly matched back to their production tickets upon completion
- Maintain accurate tracking of products throughout manufacturing to ensure traceability and minimise errors
Inventory & Stock Control
- Maintain control of materials, components, and work-in-progress stock held within the Wedding Ring Cell
- Ensure items are stored correctly and accurately recorded within company systems
- Process scrap transactions and maintain accurate inventory records
- Prepare for and participate in regular stock takes, investigating and resolving discrepancies where required
Skills & Experience
- Previous experience in a production administration, manufacturing administration, planning, or supply chain support role
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent attention to detail and accuracy when processing orders, inventory records, and production data
- Good communication skills with the ability to work effectively across departments and with external suppliers
- Confident using computer systems, spreadsheets, and production planning software
- Ability to identify and resolve issues proactively, particularly where urgent orders or material shortages are involved

Key Objective
- To ensure the smooth administration, planning, material availability, and tracking of wedding ring production activities, enabling the department to meet customer delivery commitments efficiently and accurately.
Working Hours:
Monday - Thursday : 07:15am - 3:45pm & Friday 07:15am - 12:45pm (37.5 hours per week)
Permanent vacancy after 3 months probation on agency.
Pay: From £14.30 per hour
