ROLE OVERVIEW
You will play a vital role in helping us keep residents safe by providing organised, proactive administrative support to our Building Safety team. Working from home, you will coordinate documentation, track compliance actions and keep our building safety records accurate, audit-ready and up to date.
You will be the steady hand behind the scenes: collating reports, scheduling inspections, capturing minutes and following through on actions with colleagues, residents and contractors. Your attention to detail and calm, people-focused approach will help ensure we meet our responsibilities under evolving building safety legislation while delivering a clear, caring service.
ROLE EXPECTATIONS
Most days you will manage shared inboxes and trackers, prepare and file safety documentation, schedule surveys and inspections, and keep everyone aligned on deadlines and next steps. You will communicate clearly with internal teams, residents and suppliers, turn complex information into simple updates, and ensure evidence is captured accurately and stored correctly.
WHAT SUCCESS LOOKS LIKE
- Compliance trackers are consistently accurate, current and easy for stakeholders to understand.
- Safety documentation is filed correctly the first time, with clear version control and audit trails.
- Inspections, surveys and remedial works are scheduled promptly and completed on time.
- Actions from meetings and reports are chased professionally and closed within agreed SLAs.
- Residents and stakeholders receive timely, clear and empathetic communications.
- The Building Safety team is freed to focus on higher-value work thanks to your reliable support.
HOW YOU'LL SPEND MOST OF YOUR TIME
- Managing central inboxes, logs and action trackers for building safety compliance.
- Scheduling inspections, surveys, meetings and contractor appointments, and confirming access.
- Collating, formatting and filing reports, certificates and evidence to agreed standards.
- Preparing clear communications and updates for residents and stakeholders.
- Taking accurate meeting minutes and following up actions to completion.
- Producing simple dashboards or summaries to highlight progress, risks and deadlines.

EXPERIENCE THAT HELPS
- Administrative experience in property, construction, compliance or a regulated environment.
- Working with contractors, residents or customer service teams to coordinate works.
- Using document management tools, shared drives or cloud platforms to maintain records.
- Building and maintaining spreadsheets, trackers or simple dashboards.
- Minute-taking, scheduling and action-chasing across multiple stakeholders.
