We are now looking for an organised and dependable Logistics Administrator to provide essential administrative support to our client services and warehouse operations.
ABOUT THE ROLE
As a Logistics Administrator, you will work closely with our Client Relationship Managers and Account Managers to help ensure customer orders are processed accurately, efficiently and on time.
You will provide day-to-day administrative support across a range of customer accounts, helping to manage order documentation, shipping information, system updates, costs, reports and invoicing data.
The role requires close attention to detail and a clear understanding of how accurate administration supports warehouse productivity, customer service and correct billing.
You will also monitor order volumes, communicate concerns promptly and help ensure that the relevant operational teams have the information they need to complete their work.
This is a varied and fast-moving role that would suit someone who is process-driven, confident using computer systems and comfortable working with colleagues across different departments.
KEY RESPONSIBILITIES
Your responsibilities will include:
- Running customer orders using the correct printing method.
- Distributing printed orders to the warehouse, either directly to the relevant employees or through designated customer trays.
- Supporting Account Managers and Client Relationship Managers with administrative tasks.
- Producing stock reports and completing authorised system adjustments.
- Processing shipping labels for relevant customer orders.
- Ensuring all required order and customer references are included on shipping labels.
- Maintaining accurate shipping information so that carrier costs can be correctly identified and invoiced.
- Ensuring orders are closed with the correct costs before weekly or monthly customer invoicing.
- Developing a good understanding of the carriers used by Walker Logistics and the types of parcels handled by each.
- Using the shipping calculator accurately to determine delivery and carrier costs.
- Supporting the production of customer and operational KPIs.
- Providing Account Managers with accurate information for customer and management reporting.
- Monitoring order volumes and workflow throughout the day.
- Escalating changes in order volumes or operational demand to the relevant Account Manager or Client Relationship Manager.
- Helping operational teams identify when staffing levels may need to be reviewed.
- Maintaining close communication with the relevant Client Relationship Manager.
- Ensuring all assigned daily, weekly and monthly tasks are completed.
- Assisting with the preparation of customer charge sheets.
- Using CHESS outputs and other available information to support weekly and monthly invoicing.
- Completing administrative tasks consistently and to a high standard.
- Escalating promptly where a task may not be completed within the required timeframe.
- Identifying and reporting health and safety concerns.
- Recording health and safety concerns through SharePoint so that appropriate action can be taken.
- Attending internal team meetings where required.
- Keeping up to date with company information, customer requirements and operational changes.
- Answering telephone calls transferred through reception.
- Providing telephone cover for external calls when reception colleagues are on leave.
- Communicating professionally with customers, suppliers, colleagues and other external contacts.
- Supporting other reasonable administrative activities within the client services and logistics operation when required.

SYSTEMS AND TECHNICAL SKILLS
Applicants should have:
- Good working knowledge of Microsoft Office.
- Confidence using Microsoft Excel and Outlook.
- The ability to learn warehouse, shipping and customer-management systems.
- The ability to enter, check and interpret data accurately.
Experience using the following would be advantageous:
- CHESS or another warehouse management system.
- Shipping calculators or carrier-management systems.
- Stock reporting and order-processing systems.
- KPI and operational reporting tools.
Full training may be provided on Walker Logistics systems and processes.
