The role of Medical Secretary is vital to the smooth running of our practice. We are seeking a professional who is highly organised, efficient, and able to communicate effectively with clinicians, staff, and patients in a busy environment.
The successful candidate will provide a high level of administrative and secretarial support to our clinical team, including managing correspondence, maintaining accurate patient records, and liaising with external healthcare providers. Excellent attention to detail, confidentiality, and a proactive approach to workload management are essential.
Responsibilities
- Handling incoming calls and correspondence with professionalism and courtesy
- Coordinating communication between patients, healthcare providers, and external agencies
- Ensuring compliance with confidentiality and data protection regulations
- Supporting the medical team with general administrative tasks as required
- Providing an efficient copy typing and word processing service for GPs and health professionals and management team as required
- Update SOPs as necessary
- Liaising with secondary and primary care colleagues with regards to waiting times and correspondence
- Assisting the Management Team with all clerical and administrative duties
- Filing patient records and correspondence in patient medical records
- Receiving incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
- Maintaining the clinical system in an accurate and secure manner
- Monitoring practice emails
- Applying practice policies, standards and guidance
Qualifications
- AMSPAR Medical Secretary/Medical Receptionist qualification - Desirable
- Proven office experience within a healthcare or medical environment
- Strong organisational skills with the ability to multitask effectively
- Excellent communication skills, both written and verbal
- Proficiency in standard office software programmes (e.g., MS Office)
- Ability to work efficiently under pressure whilst maintaining attention to detail
- A professional demeanour with a commitment to providing outstanding patient service
