Job title: Project Co-Ordinator
Hours of work: 8am – 5pm (40 hours per week)

Accountable to: Senior Client Services Manager
Position Overview
We are seeking a highly organised and proactive Project Coordinator to support our Client Services team in the delivery of projects across exhibitions, events, and commercial interiors.
This role will work closely with Client Service Managers (CSMs) to assist with the coordination of day-to-day project activities, ensuring projects run smoothly from initial brief through to completion. The Project Coordinator will help manage project documentation, timelines, communication, and internal coordination across design, production, and logistics teams.

Project Coordination & Support
- Provide day-to-day project coordination support to the Client Service Managers.
- Assist with the preparation and maintenance of project plans, timelines, and schedules.
- Help ensure project tasks are tracked and completed on time.
- Support the coordination of internal teams including design, production, logistics, and installation.
Client & Internal Communication
- Assist CSMs in managing client communications and responding to queries.
- Prepare meeting agendas, take notes, and circulate project updates.
- Ensure clear communication between internal teams to support project delivery
Project Administration
- Maintain accurate project documentation and records.
- Support with preparing proposals, presentations, and project documentation.
- Assist with organising project files, drawings, specifications, and client approvals.
Budget & Reporting Support
- Support CSMs in tracking project costs and purchase orders.
- Assist with preparing project updates and status reports.
- Help ensure project information is accurately recorded for financial and operational reporting.
Project Delivery Support
- Assist with coordinating project logistics, deliveries, and installation schedules.
- Support the team during busy project periods and on-site project delivery where required.
- Help ensure projects are delivered on time and meet ESG quality standards.
Team Collaboration
- Work closely with the Client Services team and other internal departments.
- Support a collaborative working environment across design, production, and operations teams.
- Provide general administrative and operational support to the Client Services function.
Essential
- 1–3 years’ experience in a project coordination, administrative, or support role.
- Strong organisational skills with excellent attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and priorities simultaneously in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- A proactive attitude with strong problem-solving abilities.
- Willingness to support project delivery and occasionally travel if required.
Desired
- Experience within events, exhibitions, interiors, or design environments.
- Experience using project management tools (e.g., Asana, Trello, Monday, MS Project).
Pay: £26,500.00-£32,000.00 per year
