While DCR operates across several departments, this role will primarily support our Heating Department, helping to ensure smooth delivery of servicing, maintenance and installation works while providing excellent customer service.
Overview
We are looking for a dedicated Customer Service & Office Administrator to join our dynamic team. This role involves managing customer interactions, supporting office operations, and ensuring smooth communication across departments. The ideal candidate will possess excellent organisational skills and demonstrate strong communication skills. This position offers an opportunity to develop professional expertise within a supportive environment, contributing to the overall efficiency of our organisation.
The Role
As the first point of contact for many of our customers, you will help ensure the smooth running of the office and provide excellent customer service.
Responsibilities will include:
- Answering incoming calls and being a friendly, engaging first point of contact for customers
- Respond promptly and professionally to customer enquiries via phone, email, and in person, maintaining excellent phone etiquette.
- Communicate effectively with clients and team members, providing clear information and assistance.
- Verifying engineers' job sheets
- Managing the annual service calendar and scheduling reminders
- Preparing customer handover packs and presenting documentation professionally
- Collating, filing, scanning and uploading documents to the CRM system
- Proactively chasing quotations and recommended further works with customers
- Supporting the team with general office administration duties
- Maintain a welcoming environment for visitors and clients.
About You
The ideal candidate will:
- Have excellent customer service skills
- Be confident and professional on the telephone
- Have strong written communication skills with good spelling and grammar
- Be organised and able to manage multiple tasks effectively
- Be proactive and willing to use their initiative
- Have a positive, can-do attitude
- Be competent using Microsoft Office and Outlook, particularly Excel spreadsheets
- Be eager to learn and develop within an established business
- Be fluent in English language
Experience in customer service, retail, hospitality or another customer-facing role would be advantageous, but is not essential.
