At Northern Security Alarms, we help protect businesses and organisations through the installation, maintenance and support of fire and security systems across the Highlands and Islands.
We are looking for a highly organised and proactive Maintenance Scheduler to join our Service Department. This is a key role within the business, responsible for coordinating planned maintenance visits, managing engineer schedules and ensuring our customers receive an excellent level of service.

The Role
As Maintenance Scheduler, you will be responsible for planning and coordinating the diaries of our maintenance engineers, ensuring scheduled visits are arranged efficiently.
You will be the central point of communication between customers, engineers and the Service Department, helping to ensure that maintenance work is completed on time and that customers remain informed throughout the process.
Key Responsibilities
- Scheduling planned maintenance visits for our team of engineers
- Contacting customers to arrange appointments and confirm attendance dates
- Managing engineer diaries to maximise efficiency and productivity
- Coordinating annual and periodic maintenance schedules
- Communicating with customers regarding upcoming visits, changes and service updates
- Monitoring maintenance due dates and ensuring work is scheduled within required timeframes
- Updating service management systems and maintaining accurate records
- Liaising closely with engineers and the wider Service Department to support daily operations
- Responding professionally to telephone and email enquiries
- Assisting with service administration and departmental reporting where required
- Identifying opportunities to improve scheduling processes and efficiency
About You
We are looking for someone who is organised, dependable and enjoys working with people.
You will be able to manage multiple priorities, communicate confidently and remain calm under pressure when schedules change.
The ideal candidate will have:
- Excellent organisational and time management skills
- Strong communication and customer service abilities
- Good attention to detail and accuracy
- Confidence using computer systems and Microsoft Office applications
- The ability to prioritise workloads and manage competing demands
- A good understanding of the geography of the North of Scotland, including the Highlands and Islands, and an appreciation of travel times and logistical considerations when planning engineer schedules
- The ability to think ahead and plan efficiently to maximise engineer productivity while minimising unnecessary travel
- A positive and professional approach to work
- Previous scheduling, planning, administration or customer service experience would be advantageous
Experience within the fire and security industry is not essential, as full training will be provided.
