CYPS Mindworks Hub South has an exciting opportunity to join our administration team, providing reception duties for a multidisciplinary team. The Band 2 Reception role will include face-to-face contact with public/young people, client’s families/carers, and other agencies; receiving and dealing with telephone and email enquiries.

The ideal candidate would be someone who has a passion for providing excellent customer service, is able to coordinate and prioritise work effectively whilst providing excellent support to our teams. You should be able to work autonomously, using initiative whilst being a team player within the administration team. The successful candidate will be competent in using Word, Excel, Outlook and ideally have experience in using electronic patient information systems. You must be comfortable working in a busy environment and able to perform effectively whilst dealing with interruptions. This is a full-time position, 37.5 hours per week.
Short-listed candidates will be invited to attend a two-part interview consisting of a face to face interview and an IT skills test.

- To deal with any visitors to the reception area in a professional and welcoming manner.
- To ensure incoming and outgoing post and parcel deliveries are dealt with efficiently daily – checking Azalea post box.
- Answer telephone calls and relay any messages in a timely manner.
- Check and book rooms for other team members upon request.
- Scan documents for uploading to patient record system.
- Receive and respond to e-mails in an appropriate manner, forwarding where necessary.
- Administer the appropriate access tools as required.
- Ensure all visitors sign in and out of the relevant visitor book/system
- General administrative tasks such as typing (excluding editing and amending of letters), copying, scanning, printing, laminating etc.
- Provide support to team members in setting up rooms for meetings.
- Update whiteboard daily with room bookings and staff on site.
- Highlight to Supervisor any concerns regarding reception.
- Keep up-to-date with Trust statutory and mandatory training.
- SMS text appointment reminders.
- Group work. Liaise with Supervisor regarding this.
- Your Views Matter – ensuring forms and QR code posters are in all consulting rooms and waiting areas. Handing out and collecting the questionnaires and uploading responses to website.
- Making sure that the Information Folders are up-to-date in each consulting room.
- Stationery monitoring and ordering via SBS.
- Reporting maintenance issues, completing and outcoming on the Maintenance log.
- Telephone call log to maintain and update daily.
