We now have an exciting opportunity for an IFA Administrator to join our team and support our advisers in delivering excellent service to our clients.

In this role, you will support advisers throughout the annual review process, from contacting clients and preparing annual review packs, to chasing providers, updating our back-office system and ensuring cases progress smoothly through to completion. You will also liaise with clients and providers, carry out compliance checks in line with company procedures and help maintain accurate records so we continue to deliver an efficient, professional service.
Tasks and Responsibilities:
· Booking the Annual Reviews for each adviser each month, by telephone, email or post and continuing to contact clients, at intervals, if unable to reach them first time.
· Preparing the Annual Review packs, to include valuations, fund factsheets, provider literature and any required compliance documents.
· Managing the Annual Review process in its entirety, ensuring data is updated in full to ensure correct MI reporting.
· Dealing with day-to-day client and provider enquiries
· Obtaining relevant information from providers
· Managing inbound and outbound telephone calls with clients, providers and internal colleagues
· Preparing for client meetings including quote requests, obtaining valuations and appropriate literature
· Preparing and submitting applications and supporting documents to product providers
· Inputting proposals to the back-office system in line with Company procedures
· Undertaking fund switches upon the instruction of the client
· Report writing
The ideal candidate:
· Essential criteria:
· Minimum 12 months administration experience
· Excellent attention to detail and accuracy when working with client data and documentation
· Strong organisational skills, with the ability to multitask and work to agreed deadlines
· Confident communication skills, including a professional telephone manner and client-focused approach
· Good working knowledge of Microsoft Office and general computer software
· Self-motivated, proactive and able to work effectively both independently and as part of a team
· Discreet and highly protective of clients’ confidential personal data
· Desirable criteria:
· Basic understanding of financial products such as pensions, investments, ISAs, protection, and mortgages
· Working towards, or interested in undertaking, relevant financial services qualifications (e.g. CII Certificate in Financial Services)
Job Types: Full-time, Permanent
Salary: £25,000+ per annum (dependent on experience and qualifications) plus bonus scheme (paid quarterly based on performance subject to passing probation period)
