We are seeking a Workplace Coordinator who will play a pivotal role in ensuring the smooth day-to-day operation and administration of the workplace environment for the WSP account.
This position is focused on delivering efficient back-office support, facilities coordination, and workplace services that contribute to a positive experience for both employees and visitors.
Location: Glasgow, G1 3BX, with travel between Glasgow and Edinburgh (3 days based in Glasgow and 2 days in Edinburgh).
Job Description
We are looking for a professional who can collaborate effectively with workplace teams, suppliers, and client stakeholders, ensuring high standards of service delivery in line with ISS and WSP values.
The role will support facilities management, workplace operations, and compliance while helping to drive continuous improvement across services.
Key Responsibilities
- Provide comprehensive support to the Facilities Manager, Assistant Facilities Manager, and wider workplace teams
- Liaise with and support the client’s Business Admin team
- Coordinate and set up meeting and conference rooms for business meetings and events
- Maintain workplace records, reports, and documentation to ensure compliance with policies and standards
- Support services including cleaning, catering, and maintenance to ensure seamless operations
- Monitor and update workplace management systems with accurate data and generate reports on workplace metrics
- Act as the primary point of contact for workplace queries from employees and contractors
- Maintain health and safety records, support ESG initiatives, and ensure compliance with relevant policies
Professional and Personal Competencies/Qualifications
- Background in Facilities Management (FM)
- Understanding of compliance and a technical awareness within workplace environments
- Strong attention to detail, ensuring accuracy and adherence to standards
- Proactive problem-solving approach with a focus on continuous improvement
- Excellent collaboration and communication skills
- Effective time management and ability to prioritise multiple tasks
- Customer-focused mindset, delivering a high-quality workplace experience
