Clearstone Facilities Group is recruiting professional, reliable and customer-focused Front of House & Management Assistants to support the launch and ongoing operation of a high-quality tenant amenity facility.
This is a varied, hands-on role combining front-of-house service, customer support and day-to-day facilities coordination. It is not a traditional reception-only position.
You will help create a welcoming, safe and professionally managed environment for tenants, visitors, contractors and other building users. From managing arrivals and bookings to completing building checks and reporting maintenance issues, you will play an important role in ensuring the facility runs smoothly.
This is an excellent opportunity to join a new site from the beginning and help shape the service and customer experience from day one.
Key Duties and Responsibilities
Your responsibilities will include:
- Welcoming tenants, visitors and contractors in a professional and friendly manner
- Managing visitor arrivals, contractor access and sign-in procedures
- Responding to tenant and visitor enquiries promptly and helpfully
- Managing meeting room, amenity, gym and leisure facility bookings
- Monitoring daily bookings through the site booking system
- Ensuring meeting rooms and other booked areas are clean, organised and ready for use
- Supporting refreshments and room arrangements for meetings and events
- Carrying out routine building and facility checks
- Completing site checklists, logs and basic reports accurately
- Identifying and reporting defects, incidents, maintenance concerns and health and safety issues
- Liaising with Clearstone management, client representatives, managing agents, contractors and site teams
- Supporting general facilities and building management activities
- Maintaining a professional, calm and helpful presence throughout each shift
- Assisting with events, busy periods and additional front-of-house requirements
- Helping maintain consistently high standards of presentation, service and organisation across the facility
Previous Experience
Previous experience in one or more of the following areas would be beneficial:
- Front of house or reception
- Concierge services
- Facilities management or building support
- Corporate office environments
- Hotel or hospitality reception
- Customer service
- Visitor or contractor management
- Meeting room coordination
- Events support
- Gym, leisure or tenant amenity facilities
- Logistics, commercial or managed building environments
Facilities management experience is desirable but not essential. We are also interested in candidates from hospitality, hotels, serviced offices and other customer-facing environments who are practical, organised and comfortable taking responsibility.

- The right to work in the UK
- Willingness to complete all required site induction and training
- Flexibility to support occasional events and launch requirements
Desirable Qualifications and Experience
The following would be advantageous:
- First aid training
- Fire marshal training
- Previous facilities or building management experience
- Experience using visitor management or booking software
- Experience working within a corporate, logistics, office, hotel or managed building environment
Working Pattern
The facility will operate Monday to Friday between 7:00am and 10:00pm.
There will be two daily shifts:
- Early shift: 7:00am to 2:30pm
- Late shift: 2:30pm to 10:00pm
Applicants should be available to work either the early or late shift, depending on the agreed rota and operational requirements.
Final shift arrangements will be confirmed during the site mobilisation process.
