Finance & Office Manager

Location: Cottingham office and occasional home working

Job Purpose: This is a hands-on, part-time finance role supporting the smooth day-to-day running of the charity’s finances. The postholder will manage purchase invoice processing, supplier payments, cash flow monitoring, budgeting support and the flow of information to the charity’s external accountants and payroll provider.
The role would suit an organised and confident finance professional who enjoys taking ownership of day-to-day finance processes, working closely with colleagues and keeping financial information accurate, timely and useful.
FiND has an annual turnover of approximately £1.3 million, employs 58 staff and is governed by a Board of Non-Executive Trustees.
Key Responsibilities
· Monitor bank balances and cash flow, highlighting any concerns early to the Director of Services and Head of Operations.
· Prepare and maintain budgets and cash flow forecasts to support day-to-day decision-making.
· Liaise with the external accountants, providing the information needed for sales invoicing, bank reconciliations and management accounts.
· Provide payroll information to the external payroll provider, including hours worked, sickness, holidays, new starters, leavers and changes to employee details.
· Support fundraising and operational teams with financial reporting to funders and grant providers.
· Process purchase invoices using Dext.
· Manage supplier payments, ensuring payments are made accurately, on time and only when sufficient funds are available.
· Maintain clear finance records and supporting paperwork so information is easy to find and audit.
· Act as the day-to-day finance contact for staff, suppliers, the external accountants and payroll provider.
· Support the Director of Services and Head of Operations with simple financial reports, budget updates and cash flow information.
· Assist with general office administration where this links to finance records, supplier information or internal processes.
About You
Essential Experience and Skills
· Exceptional attention to detail and accuracy.
· Strong analytical and problem-solving skills.
· Ability to interpret financial information and communicate it clearly to non-financial colleagues.
· Ability to produce clear and accurate financial reports.
· Ability to prepare budgets, forecasts and financial analyses.
· Experience in a finance, bookkeeping, accounts assistant or similar role.
· Comfortable working with purchase invoices, supplier payments, budgets and cash flow information.
· Confident using accounting software, Excel and online finance systems.
· Accurate, organised and able to manage deadlines in a part-time role.
· Able to communicate clearly with colleagues, suppliers, accountants and payroll providers.
· Able to handle confidential financial and payroll-related information appropriately.
Desirable Knowledge and Experience
· Experience using Dext, Xero or similar finance systems.
· AAT qualification, part-qualification or equivalent finance experience.
· Experience working in a charity or not-for-profit organisation.
· Experience of restricted funds, grants or funder reporting.
You do not need to have worked in the charity sector before. If you have strong finance administration, bookkeeping or accounts experience from another sector, the core skills are very transferable.
