Overview
Mary Kelly Foy MP is seeking a proactive and organised Administrative Assistant to join her constituency office team in Durham. The role is advertised on a full-time basis, fixed term for 12 months initially, but requests for part-time working will be considered. Mary also encourages applications from under-represented groups.
Reporting to the Office Manager, the ideal candidate will provide essential administrative support to ensure the smooth operation of daily activities and will possess previous office experience, excellent communication skills, and a professional and compassionate approach when dealing with members of the public.
This is a great opportunity for someone who works well in a small team, has a positive attitude and is efficient and personable. Based in the office where constituents seek advice and support via telephone, email and in person - the Administrative Assistant will act as the first port of call for incoming enquiries and will allocate them to the team efficiently and appropriately.
Travel for work and working outside of hours may occasionally be required. This is an exciting time to join a hardworking team with the aim of bringing Durham together.
Key responsibilities:
- Assist in the compilation of briefing packs
- Assist in the updating of social media on request
- Assist with arrangements for events; this may include: venue research and bookings; compiling and managing guest-lists; liaising with suppliers; and providing on-the-day event support as required
- Database management using office software (e.g. Microsoft Office) to handle administrative cases
- Diary Management
- Efficient data and file management to ensure the office complies with the data protection legislation
- Engage professionally, confidentially and with care and integrity with members of the public, through a variety of methods
- Handling administrative arrangements for meetings with members of the public/MP surgeries
- Liaise with suppliers when required regarding office supplies and security
- Minute/action point taking
- Open, handle and action email, post and social media enquiries
- Photocopying, filing, record-keeping and typing correspondence
- Provide administrative support in relation to MP's expenses scheme via IPSA Online
- Respond to enquiries by telephone, e mail and social media, passing on queries to another team members/MP as appropriate
- Sympathetic to the aims and values of the Labour Party
Requirements:
- Proven office experience or clerical experience demonstrating organisational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong typing skills with attention to detail for accurate data entry
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good communication skills, including professional phone etiquette
- Familiarity with creating social media content and updating Wordpress, and other, websites is desirable but not essential
- Ability to work independently and as part of a team in a fast-paced environment
- Flexibility to work outside of regular working hours on occasion

Pay: £25,528.00-£32,893.00 per year
