We are looking for a full-time Operations Administrator to join our small, friendly office team.
We are a long-established local Electrical Contracting business, trading for over 25 years, and we pride ourselves on being a reliable, down-to-earth company with a strong team around us. Our office is a relaxed, non-corporate environment, and we are looking for someone who is happy to work as part of a small team where everyone helps each other out.
The role is varied and would suit someone who is organised, proactive, and comfortable managing several tasks at once. The successful candidate will take ownership of a specific ongoing contract involving electrical upgrades within vacant properties, ensuring work is planned efficiently and progresses smoothly from start to finish.
Responsibilities
- Coordinating and managing an ongoing programme of electrical upgrade works within vacant properties
- Allocating properties and work schedules to teams of electricians
- Ordering and arranging materials required for upcoming works
- Monitoring job costs and highlighting any additional works that should be invoiced above the original quotation
- Updating contract tracker and monitoring progress
- Liaising with electricians, subcontractors, suppliers and the client to ensure works progress efficiently
- Reacting quickly to urgent works and adjusting schedules where required
- Proactively ensuring future properties are ready for electricians to move onto upon completion of current works
- Issuing invoices and quotations using Sage software
- Assisting with the scheduling and allocation of other works across the business
- Answering and directing phone calls
- Dealing with customer enquiries and general office administration
- Supporting the Office Manager and wider team with administrative duties as required
Skills & Experience
- Previous experience in an administrative, coordination, scheduling or contract support role essential
- Strong organisational skills and attention to detail
- Ability to prioritise workloads and manage multiple tasks simultaneously
- Good communication skills and a confident telephone manner
- Proactive approach and ability to work on your own initiative
- Good computer skills and experience using Microsoft Office
- Experience using Sage software would be advantageous but not essential
- Experience within the construction, maintenance or electrical industry would be beneficial but not essential
