Role purpose
The Health & Safety Compliance Coordinator will support MS Webb’s health, safety and wider compliance arrangements across the group. The role combines practical quality assurance, incident investigation and operational health and safety advice with accurate document control, statutory-register management, driver-safety monitoring, and support for accreditation, ESG and data-protection activity.
The postholder will work closely with operational managers, site teams, HR and senior leadership to promote effective risk control, improve compliance standards and provide reliable evidence for management, client and accreditation requirements.
Key responsibilities
Health, safety and quality assurance
· Carry out quality-assurance visits to operational sites as required, checking that working practices comply with company procedures, risk assessments, method statements and safe systems of work.
· Provide practical and proportionate advice to operational teams and managers on health and safety matters, risk control and safe working arrangements.
· Identify non-conformances, record findings clearly and support managers to agree corrective and preventative actions.
· Monitor action completion and escalate significant or overdue health and safety concerns to the Associate Director – Compliance, Risk & Digital Transformation.
· Promote a positive health and safety culture across the business.
Incident investigation and reporting
· Investigate workplace accidents, incidents, vehicle events and near misses, establishing immediate, underlying and root causes.
· Prepare investigation reports that identify practical corrective actions, lessons learned and any requirement for wider communication.
· Maintain accurate incident records and trend data for management review.
· Collate information for statutory reporting under RIDDOR where required, ensuring relevant events are identified promptly and escalated to the responsible senior manager.
· Support implementation of corrective actions following incidents and monitor their effectiveness.
Driver safety and telematics
· Maintain records of driving-licence checks, driver declarations and driver risk assessments.
· Review vehicle incidents, driving performance and telematics information through BigChange to identify safety risks, trends and recurring issues.
· Support targeted driver-safety interventions, including communications, toolbox talks, refresher training and risk-control measures.
· Produce driver-safety information and performance summaries for management review.
Statutory compliance and premises safety
· Maintain the statutory inspection and maintenance register for relevant equipment and systems, including fire extinguishers, fire-alarm systems, emergency lighting, portable appliance testing, ladders and access equipment, calibration records and other safety-critical equipment.
· Monitor due dates, obtain or coordinate relevant evidence, and escalate overdue inspections, servicing or corrective actions.
· Maintain and review fire risk assessments for MS Webb premises, ensuring action plans are recorded, monitored and updated.
· Assist with premises inspections and support the ongoing improvement of workplace safety standards.
Documentation and controlled information
· Review health and safety policies, procedures, risk assessments, method statements, forms and associated documents to ensure they remain current, accurate and fit for purpose.
· Maintain document-control registers, version history and approval records.
· Ensure superseded documents are withdrawn from use and approved documents are issued through the appropriate process.
· Maintain accessible records to support internal assurance, client requirements, audits and external accreditations.
Toolbox talks and workforce communications
· Identify relevant health and safety topics from incident trends, inspections, changing operational risks and industry developments.
· Draft clear, practical toolbox talks suitable for operational delivery and signed acknowledgement.
· Ensure material is appropriately tailored to the activity, workforce and level of risk.
· Work with HR, which retains the register of signed returns, to ensure suitable records are available where needed.
Accreditation, ESG and client compliance
· Support the health and safety requirements of external accreditations, client pre-qualification systems and industry schemes, including ISO 45001 where applicable.
· Prepare, organise and maintain supporting evidence for audits, tenders, client submissions and accreditation assessments.
· Support ESG reporting by gathering health and safety performance data, evidence and narrative for Board-level reporting.
· Contribute to continual-improvement plans arising from audit findings, inspections, incidents and management review.
Data protection and compliance administration
· Provide administrative support to the data-protection function, including maintaining the Subject Access Request log and monitoring retention schedules.
· Ensure data-protection incidents, requests and decisions are promptly escalated to the Associate Director – Compliance, Risk & Digital Transformation.
· Handle confidential information appropriately and in line with company procedures.
· Support broader compliance projects and administrative activities as reasonably required.
Systems and continuous improvement
· Review how health and safety processes operate within BigChange and Timegate Express.
· Identify opportunities to improve system configuration, workflow, reporting, evidence capture and data quality.
· Support the implementation of practical digital improvements that strengthen compliance visibility and reduce administrative risk.
· Assist in developing management information, dashboards and reports to support informed decision-making.

MS Webb is seeking a highly organised and practical Health & Safety Compliance Coordinator to support our growing group-wide compliance function. The successful candidate will play a key role in maintaining safe systems of work, investigating incidents, monitoring statutory compliance, supporting driver safety and ensuring that health and safety documentation remains accurate, current and audit-ready.
This is a varied, hands-on role suited to someone with strong administration and compliance skills who is confident working with operational teams, conducting site visits and helping turn compliance requirements into practical day-to-day controls.
Pay: £30,000.00-£35,000.00 per year
