Job Description:
The Estimator is responsible for reviewing work completed by workshops and technicians, creating accurate job records, allocating labour and parts, and checking each job for invoicing readiness. This role supports the smooth and timely conversion of completed maintenance and repair work into chargeable, well-documented invoices while maintaining high standards of accuracy, compliance and customer service.
Key Responsibilities
· Review completed workshop and technician jobs to ensure all work carried out is fully captured.
· Create and update job records accurately and in a timely manner.
· Allocate and verify labour hours, parts, consumables and any additional chargeable items against completed work.
· Identify missing information, discrepancies or non-chargeable items and resolve queries with workshop teams before invoicing.
· Ensure all jobs are costed correctly in line with company processes, agreed labour rates and customer requirements.
· Prepare jobs for invoicing by confirming that labour, parts and external costs are correctly recorded and authorised where required.
· Liaise with workshop coordinators, technicians, parts teams and administration staff to maintain accurate job status updates.
· Monitor job progress and completion status to help reduce invoicing delays and maximise revenue recovery.
· Maintain clear, organised records to support audit trails, customer queries and internal reporting.
· Support continuous improvement by highlighting recurring issues in paperwork, coding, labour capture or parts allocation.
Skills and Experience
· Previous experience in an estimator, workshop administration, service advisory or invoicing role within fleet, commercial vehicle, automotive or engineering environments.
· Good understanding of workshop processes, job cards, labour allocation and parts usage.
· Strong attention to detail with the ability to work accurately at pace.
· Confident using workshop management, fleet management or invoicing systems.
· Strong numerical and organisational skills.
· Ability to review and interpret technician write-ups, labour entries and supporting documentation.
· Good communication skills and the ability to work effectively with technicians, workshop teams and office colleagues.
· Ability to prioritise workload and manage multiple jobs to deadlines.
· Commercial awareness with a focus on accurate cost recovery and invoicing efficiency.
· Competent in Microsoft Office, particularly Excel and Outlook.
Key Performance Measures
· Accuracy and completeness of job creation and costing.
· Timeliness of jobs being reviewed and released for invoicing.
· Reduction in invoice queries, rework and missed chargeable items.
· Quality of communication with workshop and administrative teams.
· Compliance with internal processes and customer-specific invoicing requirements.
This role may report to the Workshop Manager, Operations Manager or Finance Manager depending on business structure. Duties may be varied from time to time in line with operational requirements.
Pay: From £28,000.00 per year
