We are looking for a highly organised and detail-focused Project Assistant to join our busy team.
This is a key support role within our Post Office Project team, helping to coordinate and plan fitting teams across the UK, manage logistics and keep projects moving smoothly from planning through to completion.

The Role
As Project Assistant, you will provide day-to-day administrative and coordination support to our Post Office Project team.
A large part of the role will involve planning and coordinating our nationwide network of fitters, ensuring the right teams are scheduled for the right jobs, at the right time and in the right location.
You will also be responsible for maintaining detailed project and logistics spreadsheets, tracking installation schedules, updating project information and communicating with internal teams, fitters and customers.
Excel and spreadsheet management will be a significant part of this role, so you must be confident working with large amounts of data, keeping information up to date and identifying any errors or discrepancies.
This is a busy role where accuracy is essential, and you will need to be comfortable managing multiple projects, schedules and deadlines at the same time.
Key Responsibilities
- Coordinate and schedule fitting teams across the UK
- Plan installation programmes and allocate fitters based on location, availability, skills and project requirements
- Manage and maintain detailed spreadsheets for projects, installations, logistics and fitter schedules
- Track upcoming and completed installations, ensuring information is kept accurate and up to date
- Coordinate logistics between production, projects, dispatch and installation teams
- Liaise with fitters to confirm dates, locations, access requirements and job details
- Monitor project progress and highlight any potential issues or delays
- Keep project records, schedules and databases accurately maintained
- Assist Project Coordinators and Project Managers with the day-to-day running of projects
- Organise and track delivery and installation requirements
- Communicate changes to schedules and ensure all relevant parties are kept informed
- Assist with producing reports, schedules and project updates
- Ensure all project information is accurate and easily accessible
- Support with general administration and coordination
About You
We are looking for someone who is highly organised, computer literate and has excellent attention to detail.
You don't necessarily need to have previous experience working in a project or logistics role. What is most important to us is that you have the right attitude, a willingness to learn and the ability to stay organised in a busy environment.
You may already have experience in a fast-paced customer-facing environment such as retail, hospitality, customer service or administration, where you've developed the ability to manage multiple priorities, deal with different people and solve problems quickly.
The ideal candidate will have:

- A positive attitude and willingness to learn
Experience in project coordination, logistics, scheduling or installations would be beneficial but is not essential.
Full training will be provided on our systems, processes, and the specific requirements of the role.
