TITLE: Utility Administrator
ROLE: To give general support to the Accounts Team and assistance on the utility administrative duties of the department.
REPORTS TO: Group Financial Controller
REPORTS IN: None
SALARY: £26,000 per annum pro rata
WORKING HOURS: 40 hours per week Monday to Friday 9.00am to 6.00pm with 1 hour unpaid lunchbreak
Role Purpose:
The Utility Administrator provides comprehensive administrative and operational support to the Accounts Team, focusing on utility management and tenant-related utility tasks. This role ensures accurate, timely, and efficient management of all utility accounts, tenant registrations, and associated correspondence, while maintaining strong relationships with tenants, contractors, and internal stakeholders.
Key Responsibilities
Tenant Utility Administration
- Register new tenants for all relevant utility services (gas, electricity, water) and council tax, both online and via telephone.
- Maintain an up-to-date utility log for all incoming and outgoing tenants, ensuring accurate tracking of start and end dates for services.
- Coordinate utility account closures and transfers promptly when tenants vacate properties.
- Respond to tenant queries regarding utilities and council tax, providing clear guidance and support.
Communication and Correspondence
- Draft and send letters, emails, and other correspondence to utility companies and council tax departments regarding account setup, amendments, or queries.
- Maintain a professional and clear line of communication with tenants, contractors, and service providers.
- Escalate any issues or discrepancies to senior management in a timely manner.
Contractor and Meter Coordination
- Instruct contractors as needed to obtain meter readings or other utility-related information from properties.
- Schedule and coordinate contractor visits efficiently, ensuring minimal disruption to tenants.
- Verify and record all information provided by contractors, updating tenant records and internal logs accordingly.
Internal Collaboration
- Work closely with the Accounts Team to provide accurate information for invoicing, billing, and reporting purposes.
- Liaise with other departments and sister companies to ensure a seamless workflow across Caridon.
- Actively contribute to team meetings, sharing insights and suggesting process improvements where appropriate.
GENERAL
- Good communication skills
- Knowledge of Arthur, Xero and Muuvo is beneficial
- To contribute to the strategic direction of Caridon
- To carry out specific tasks required by your Senior Managers.
- To facilitate good relationships across all departments and sister companies
- To demonstrate and actively encourage a good team spirit, positive environment and motivated department at all times
- To be responsible with your time keeping at all times and keeping your line manager with your whereabouts on a daily basis
