About the Role
This is a newly created role which will support both the Financial Controller and the HR Manager with the day-to-day running of the finance and HR functions. You will be responsible for accurate transaction processing, record keeping, and financial administration, ensuring invoices, payments, expenses, and reconciliations are completed correctly and on time. In your HR capacity you will be involved in updating our HRIS system, recruitment, onboarding and payroll. This is an excellent role for someone with solid finance/HR administration experience who wants to develop within a professional, fast-paced environment.
Key Responsibilities
Accounts Payable & Payments
- Process purchase invoices accurately and on time, ensuring correct approval before payment.
- Prepare supplier payment runs for authorisation and manage outstanding supplier balances.
- Respond to supplier queries and maintain good supplier relationships.
Sales Invoicing & Credit Control
- Open new customer accounts in line with credit scores
- Import and track sales invoices, ensuring accuracy and alignment with client contracts.
- Responsible for monitoring outstanding balances and taking the necessary action to ensure that credit balances are not exceeded
- Respond to enquiries from clients and internal stakeholders regarding account status and transactions.
Records, Reconciliations & Month-End
- Maintain accurate and well-organised financial records in Xero.
- Complete bank and account reconciliations and resolve discrepancies in a timely manner.
- Assist the Financial Controller with month-end processes and the preparation of financial reports.
- Maintain organised supporting documentation so records are always audit-ready.
Expenses & Staff Administration
- Administer employee expense requests, and reimbursements.
- Oversee and reconcile staff expense claims, ensuring receipts and approvals are in place.
Tax & Compliance Support
- Assist in the preparation of VAT returns and gather supporting information for tax submissions.
- Handle all financial and client data in line with confidentiality obligations and UK GDPR.
HR Administration
· Maintain accurate employee records including absence, training and personnel files using Sage HR platform
· Support recruitment administration, including posting adverts, arranging interviews, and preparing new starter documentation.
· Assist with onboarding, induction arrangements, and employee lifecycle administration.
· Support payroll preparation by collating timesheets, absence information, and other relevant data.
· Maintain confidentiality and ensure all records are handled in line with company procedures and data protection requirements.
About You
· AAT qualified or final year student
· Previous experience in financial administration as detailed above within a busy accounts office is essential to this role
Experience of the employee life cycle and associated administration
· Strong attention to detail and a high level of accuracy.
· Good communication skills and a professional, approachable manner.
· Ability to handle confidential information with discretion.
· Confident using Microsoft Office, particularly Word, Excel, and Outlook.
· Well organised, able to prioritise workload, and comfortable working to deadlines.
· A positive attitude and willingness to support colleagues across different departments.
· Knowledge of Sage payroll and factoring would be advantageous
· Be able to work extra hours to cover for holidays where necesary

· Part time salary of £22,000 per annum with 22 days annual leave plus bank holidays
· Full office based role 5.5 hours per day Monday-Friday
