Overview
We are seeking a professional and organised Office Administrator/Receptionist to join our team. This role is essential in ensuring the smooth operation of our office environment, providing excellent customer service, and supporting administrative functions. The successful candidate will possess strong communication skills, be proficient in various computer applications, and demonstrate exceptional organisational abilities. Duties
- Greet visitors and clients in a courteous and professional manner, acting as the first point of contact for the organisation
- Manage incoming calls, directing enquiries appropriately whilst maintaining excellent phone etiquette
- Organise and maintain office files, records, and documentation with attention to detail
- Perform data entry tasks accurately using Microsoft Office programmes, Google Workspace, and QuickBooks as required
- Schedule appointments, meetings, and coordinate calendars for staff members
- Assist with invoicing, billing, and basic bookkeeping responsibilities using our diary management software
- Handle correspondence via email and postal mail efficiently and professionally
- Support other administrative tasks such as ordering supplies, organising travel arrangements, and preparing reports
- Ensure the reception area remains tidy and welcoming at all times
- Be proficient with Microsoft excel and word
- Be proactive with chasing clinicians for reports, managing diaries and be responsible for booking all clinician diary slots
- Be comfortable taking payments in person and chasing payments of customers
Requirements
- Proven office experience or clerical experience with a strong understanding of administrative procedures
- Excellent organisational skills with the ability to prioritise tasks effectively
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry skills
- Strong computer skills including familiarity with QuickBooks and healthcare software, logistics software is desirable
- Exceptional phone etiquette coupled with excellent verbal communication skills
- Typing speed of at least 40 words per minute with high accuracy
- Ability to work independently whilst also being a team player
- Organised approach to managing multiple tasks in a fast-paced environment
- Previous experience in administrative roles or reception duties is advantageous

Pay: £24,420.00-£28,500.00 per year
