Job Purpose
The Senior Exhibition Coordinator is responsible for supporting the delivery of high-quality event and exhibition projects, ensuring strong organisation, accuracy and follow-through at every stage of the process.
This is a core delivery support role within the Exhibition team. Working closely with Senior Exhibition Managers and Exhibition Managers, you will help coordinate the operational, administrative and logistical elements of live projects, ensuring timelines are maintained and details are executed correctly.
Success in this role comes from discipline, reliability and attention to detail. You will manage project documentation, support supplier coordination, assist with budget tracking, and help ensure that all planning tools and folders are kept accurate and up to date.
Key Responsibilities

Support the project lead in building strong client relationships and delivering an exceptional client experience.

Understand client objectives and requirements to support successful event delivery.

Respond proactively to client requests and resolve issues to ensure high levels of satisfaction.

Build positive relationships with preferred suppliers and support commercial negotiations.

Adapt communication and delivery approach to meet the needs of each client and project.

Support the planning and delivery of multiple exhibition projects from inception through completion.

Maintain project plans, timelines, documentation, and planning tools to ensure accurate project coordination.

Work directly on exhibition portals and complete provided deadlines

Coordinate suppliers, logistics, venues, and operational requirements to support successful event delivery.

Assist with exhibition setup, on-site delivery, and post-event activities while maintaining quality standards.

Support budget management by monitoring project costs and identifying cost-saving opportunities.

Ensure administrative tasks, documentation, and project records are completed accurately and on time.

Prioritise competing deadlines and manage multiple projects effectively.

Support project budgeting through expense tracking, payment scheduling, and financial administration.

Process purchase order requests accurately and within required timelines.

Maintain accurate financial records, including invoices, receipts, contracts, and supporting documentation.

Ensure project financial information is current and organised to support reconciliation and reporting.

Build strong working relationships with colleagues, clients, suppliers, and stakeholders.

Communicate professionally in all internal and external interactions.

Maintain exceptional attention to detail while meeting deadlines and project commitments.

Share knowledge and provide support to colleagues to contribute to overall team success.

Represent the business professionally at industry events, trade shows, and networking opportunities.
Qualifications
Must-have
-
3+ years’ experience in exhibition management.

Proven experience supporting end-to-end event delivery

Strong organisational and project coordination skills

Ability to manage multiple projects simultaneously

Experience working with suppliers and managing logistics

Confident client communication skills

Experience supporting event budgets and financial tracking

Strong administrative accuracy and attention to detail

Competent in Microsoft Office (Excel essential)

Experience managing project folders, documentation and timelines

Comfortable tracking budgets and payment schedules

Additional Information
Salary: Dependent on experience
Hours: 37.5 hours per week
Location: Bromley, Greater London (office-based / hybrid - 1 or 2 days in office per week)
Applicants must have the right to work in the UK.
This role may require occasional international travel, therefore candidates must be able to obtain and maintain valid travel documentation where required.
