We are currently looking for a Fleet Coordinator to join our VMU team and play a crucial role in ensuring the compliance and efficiency of our fleet operations.
Shift Pattern and Hours of Work:
Duties and Responsibilities:
- Act as the first point of contact for drivers, visitors and vehicle breakdowns, ensuring timely communication and resolution.
- Coordinate vehicle maintenance, repairs and servicing to maximise fleet availability and minimise downtime.
- Schedule and manage MOTs, PMIs, tachograph inspections and other statutory compliance requirements.
- Create and allocate workshop job cards, ensuring all work is accurately recorded and tracked.
- Liaise with Operations teams to ensure vehicles are available when required and operational priorities are achieved.
- Monitor vehicle status and provide regular updates to stakeholders on fleet availability and Vehicle Off Road (VOR) issues.
- Maintain accurate fleet records and documentation, ensuring compliance with DVSA regulations and company procedures.
- Coordinate with external suppliers, maintenance providers and rental companies to arrange repairs and services.
- Monitor supplier performance and escalate any service delivery concerns.
- Manage parts inventory and ensure required parts and service kits are available to support workshop activities.
- Process purchase orders, invoices and maintenance-related administration accurately and efficiently.
- Participate in daily operational meetings and provide updates on fleet performance and vehicle status.
- Promote a positive Health & Safety culture and ensure compliance with company policies and industry standards.
- Deliver exceptional customer service and build strong working relationships across the business.
Qualifications:
- Reasonable standard of 2nd level education
Required Experience:
- Experience in a distribution/manufacturing environment
- Experience working within an administration role.
- Familiar with using fleet telematics such as Verilocation.
- Understanding of ‘O’ Licence requirements
- Previous experience working within a similar role, business and / or industry
Other Criteria:

- Ability to use multiple software applications including MS Office.
- Prioritisation and organisation skills.
- Excellent communication and customer service skills; towards colleagues and customers.
