An exciting opportunity is now available for an enthusiastic and self-motivated individual to join a highly sought-after Equine Dental company in the South East of England as a Personal Assistant/Office Manager.
The successful applicant must be confident working independently, able to use their own initiative, and possess excellent logistical and organisational skills to manage a complex and constantly evolving diary.
As the first point of contact for clients and enquiries, you will provide outstanding customer service while confidently prioritising a varied workload in a fast-paced environment.
The role is fully home-based once training is complete. We offer full training, induction and ongoing support for this role, which will begin with a minimum one week of on site training at the company headquarters in Basingstoke.
The Role
Covering Surrey, Hampshire, Berkshire and Oxfordshire, the Office Manager holds sole responsibility for the administrative organisation of Bee May Equine Dental Services.
Managing the diary requires careful consideration of yard locations, client availability, clinician schedules, travel times, traffic conditions, and the requirements of other professionals involved in each case. The successful candidate will be responsible for coordinating these factors to ensure the smooth and efficient running of the business. It is their responsibility to keep all notes up to date to keep the efficiency of the day at a high level. They will work very closely with not only Bee and her team, but other dentists that work with her on a weekly basis.
Responsibilities:
- Diary management
- Answering client enquiries via phone, email and social media
- Route planning and scheduling
- Managing and maintaining the client database
- Supporting Bee's professional and business requirements
- Coordinating with clients, contractors and team members
- Tracking deadlines, payments and important reminders
- Maintaining accurate records and notes
Skills/Experience Required:
- Excellent communication skills
- Previous experience working with high volumes of enquiries
- Proficiency with Microsoft Office
- Proficiency with Google Calendar
- Able to problem solve and multitask, work proactively
- Strong time-management skills and ability to organise and coordinate multiple responsibilities at the same time
