The Customs Entry Team holds responsibility for the day-to-day Customs activities for specific accounts. The role involves ongoing compliance to both HMRC & client specific SOP's designed to ensure that agreed service standards & Legal requirements are maintained to the highest level on a consistent basis.
Financial/Commercial
- Working with the Customs entry team & UK Quality and HMRC Compliance to ensure Customs policies and processes are followed inline with legal requirements, guidelines & compliance.
- Query Resolution - to resolve any queries from both customers and HMRC in a timely and efficient manner
- Query Resolution - to resolve any queries from internal departments in a timely and efficient manner
- Monitoring customers volumes on an ongoing basis and highlighting any unusual trends to management
- Investigate & escalate any uncertainty with a classification/documentations both internally and with Customers
- Review customer specific SOP’s with regards to customs brokerage and related taxes at BU level
- Assessing customer requirements and ensuring that these are met
- Ensure that we conform with both AEO and ISO standards
- Cover for other team members during busy/holiday periods
- Support accurate billing by ensuring customs-related charges, deferment usage, disbursements and any additional costs are checked and passed for invoicing in line with agreed procedures.
- Identify repeated customer or operational issues which may impact cost, service or compliance, and escalate improvement opportunities to management.
Operational
- Use of Internal Freight Management System, Microsoft Packages (Word/Excel/Outlook) & Telephone
- Validation & Maintenance of Party IDs.
- On time invoicing of duty/vat
- Monitoring performance of data transfer between FMS & Customs Brokerage System & taking corrective actions to improve performance where possible
- Process import documentation according to customs regulations and company policies
- Update status of customs documentation in Internal Freight Management Systems
- Use of Port/CDS and Customs Brokerage System.
- Claiming UCNs
- Complete classification of Commodities against HMRC Tariff
- Supplement Shipment data with Invoice values and Commodity codes per item
- Transmit Customs Declarations within a timely manor as per agreed SOP
- Submit entry documentation to Customs EPU as required
- Prioritising of Work load in accordance of deadlines & SOP
- Complete pre-entry checks on commercial invoices, packing lists, bills of lading, arrival notices and supporting documentation to ensure information is complete and consistent before declaration submission.
- Validate import entry data including importer details, CPCs, valuation, origin, Incoterms, duty/VAT treatment, licence requirements and document codes prior to submission.
- Monitor customs clearance progress, vessel arrival dates, port holds, customs queries and release status to support timely delivery and avoid unnecessary delays or storage costs.
- Maintain clear records and audit trails for customs entries, customer instructions, supporting evidence and post-clearance amendments in line with internal retention requirements.
Customer Service
- Ensure Customs declarations are submitted in a timely manor as per agreed SOP
- Reviewing customers specific SOP's on an ongoing basis to ensure compliance.
- Reviewing internal operational procedures on an ongoing basis to ensure compliance.
- Provide proactive updates to customers and internal stakeholders regarding clearance status, missing information, customs holds and any risks to delivery timelines.
- Build effective working relationships with customers, and internal departments to support smooth customs clearance and issue resolution.
- Maintain awareness of changes to UK customs legislation, CDS requirements, tariff updates and internal process changes relevant to the role.
