About the Role
This is a hands-on, varied role combining office-based coordination with time out in the field. You'll be the day-to-day link between our clients, Care Workers and management — making sure care is scheduled safely, delivered to a high standard, and properly recorded, while directly supporting and supervising Care Workers in clients' homes.
You'll report to the Registered Manager and play a central role in keeping our service running smoothly, safely and inspection-ready as we grow.
Key Responsibilities
Scheduling and care coordination
- Coordinate day-to-day rotas, visit changes, staff availability, sickness and holiday cover to ensure safe, consistent care
- Turn newly accepted care packages into accurate schedules and clear instructions for Care Workers
- Monitor for late, missed or short visits and follow up promptly
- Maintain accurate records on our care management system, including care notes, visit records, tasks and alerts
- May have to cover visits occasionally
Quality and field supervision
- Carry out quality assurance visits, spot checks and support visits to observe care delivery and provide constructive feedback to Care Workers
- Complete carer introductions when a Care Worker is matched with a new client
- Support Care Workers to understand and follow care plans, medication prompts, moving and handling instructions and reporting requirements
- Identify training needs, competency gaps or conduct concerns and escalate to the Registered Manager
Client and family experience
- Build professional, positive relationships with clients and families
- Respond to client and family queries, escalating anything requiring management input
- Feed back observations from visits and reviews to help keep care responsive to each client's needs
Safeguarding, medication and risk
- Support or complete medication competency observations and ensure accurate records
- Escalate medication errors, missed care, safeguarding concerns or unsafe practice the same day, in line with company procedures
- Support follow-up actions after incidents, complaints or quality concerns
Compliance and administration
- Keep documentation accurate, complete and inspection-ready in line with CQC requirements
- Support recruitment administration, onboarding, references, DBS and right-to-work checks where required
- Contribute to audits, inspections and quality improvement actions
What We're Looking For
Essential
- Experience in domiciliary care, community care, supported living or a similar care setting
- Confidence observing care practice, identifying concerns and supporting Care Workers to improve
- Strong organisational skills and the ability to manage rotas, scheduling changes and competing priorities calmly
- Clear, professional communication with clients, families, staff and management
- Understanding of the importance of prompt safeguarding, medication and risk escalation
- Full UK driving licence and access to a reliable vehicle
Desirable
- Experience in a senior care, coordinator, field supervisor or quality assurance role
- Experience using a digital care management system (e.g. Birdie)
- Experience supporting CQC inspections, audits or quality improvement plans
