Lettings Administrator
Role Overview
As a Lettings Administrator, you will play a key role in delivering an exceptional customer experience to landlords and prospective tenants throughout the lettings journey. You will be the first point of contact for many applicants, handling enquiries, arranging viewings, and helping people find their ideal home.
This is a fast-paced role that requires excellent communication skills, outstanding organisation, and the ability to manage multiple priorities simultaneously. You will be confident speaking with people both over the phone and face-to-face, building rapport quickly and providing a professional, knowledgeable and friendly service at every stage.
Working closely with the wider lettings team, you will ensure our viewing diary is planned efficiently, property marketing remains accurate and up to date, and applicants receive a seamless experience from their first enquiry through to securing their new home.
Key Responsibilities
Applicant Management
- Respond promptly and professionally to property enquiries via telephone, email and online portals.
- Qualify applicants to understand their requirements, budget and preferred locations.
- Match applicants with suitable properties and proactively recommend available homes.
- Build strong relationships with prospective tenants through regular communication and follow-up.
- Deliver an outstanding customer experience throughout the lettings process.
Viewing Coordination
- Organise and manage the viewing diary to maximise efficiency and minimise travel time.
- Coordinate appointments with applicants, landlords and colleagues.
- Ensure viewing schedules are well planned and adaptable to changing priorities.
- Collect detailed feedback from applicants following viewings and communicate this to landlords and the wider team.
Property Marketing
- Ensure all property listings are accurate, well-presented and up to date across all marketing platforms.
- Monitor listings to ensure photographs, descriptions, pricing and availability remain current.
- Assist in preparing properties for marketing where required.
Communication
- Be the first point of contact for incoming telephone calls and property enquiries.
- Communicate confidently and professionally with applicants, landlords and colleagues.
- Maintain accurate records of conversations and applicant requirements using the company's CRM system.
- Keep applicants informed throughout their property search, providing regular updates and managing expectations.
Social Media & Marketing
- Contribute ideas for engaging social media content that promotes available properties and the business.
- Assist with creating content that showcases properties, local areas and the company culture.
Administration
- Maintain organised and accurate records of applicants, enquiries and viewings.
- Ensure all documentation is completed accurately and in a timely manner.
- Assist with general administrative duties to support the lettings team.
- Prioritise workloads effectively to meet deadlines and maintain high service standards.
Skills & Experience
Essential
- Excellent verbal communication skills with a confident and professional telephone manner.
- Comfortable speaking with people face-to-face and building rapport quickly.
- Strong organisational skills with the ability to effectively prioritise a busy workload.
- Excellent time management and diary planning skills.
- Friendly, approachable and customer-focused.
- Able to remain calm and professional in a fast-paced environment.
- High level of attention to detail.
- Competent using Microsoft Office and CRM systems.
- Positive attitude with a willingness to learn.
- Ability to work independently as well as part of a team.
Desirable
- Previous experience within lettings, estate agency, sales or customer service.
- Knowledge of the local property market.
- Experience managing diaries or appointment scheduling.

We welcome candidates using AI tools to support the preparation of their application. However, as this role involves regular communication with applicants, landlords and colleagues, strong written and spoken English communication skills are essential.
