Office Admin Assistant
Part-Time | Approximately 20 hours per week, with additional hours available when required
We are looking for a reliable, organised and confident Office Admin Assistant to join our team and help keep our day-to-day tour operations running smoothly.
This is a hands-on administrative role within a busy tourism and transport environment. You will be dealing directly with customers and suppliers, managing bookings and enquiries, keeping records up to date and supporting the wider team with the organisation of daily operations.
The successful candidate will need to be confident using computers, comfortable speaking to customers on the telephone, highly organised and able to manage multiple tasks and priorities in a busy environment.
Working Hours
The regular working pattern is:
- Thursday: 10:00–15:00
- Friday: 08:00–13:00
- Saturday: 08:00–13:00
- Sunday: 08:00–13:00
Approximately 20 hours per week, with additional hours potentially available when required.
During the cruise season (April to September), start times can vary and there may occasionally be a requirement to start as early as 07:00 to ensure tour dispatches and customer enquiries are covered.
Regular availability across Thursday, Friday, Saturday and Sunday is essential for this position.
Key Responsibilities
You will be responsible for a range of administrative and operational tasks, including:
- Answering incoming customer and supplier calls professionally and dealing with enquiries efficiently.
- Monitoring and responding to emails in a timely manner.
- Updating bookings, customer information and operational records accurately.
- Carrying out data entry and maintaining organised electronic records.
- Managing files and documents using Microsoft Office, OneDrive and Google Workspace.
- Using Microsoft Excel for administrative tasks, record keeping and spreadsheets.
- Assisting with staff rotas, scheduling, and day-to-day office coordination.
- Processing invoices using QuickBooks or similar accounting software.
- Supporting the team with general clerical and administrative duties.
- Monitoring office supplies and helping to ensure the office is organised and operational.
- Assisting with marketing and promotional administration where required, including social media, promotional content and business listings.
- Dealing with customer issues and operational problems using good judgement and initiative.
- Prioritising competing tasks to ensure urgent customer and operational requirements are dealt with promptly.
What We Are Looking For
We are looking for someone who can demonstrate:
- Excellent organisation and attention to detail.
- Confident and professional telephone communication skills.
- Strong written communication and email management skills.
- Good working knowledge of Microsoft Office, particularly Excel.
- Experience managing electronic files and documents using OneDrive, Google Drive or similar systems.
- The ability to manage multiple tasks and changing priorities without losing accuracy.
- The confidence to work independently and use initiative when a manager is not immediately available.
- Good computer skills and accurate data-entry ability.
- A professional, helpful and customer-focused approach.
- Reliability and flexibility, particularly around the required Thursday–Sunday working pattern.
Desirable Experience
The following would be advantageous:
- Previous administrative or office experience, ideally in a busy customer-facing environment.
- Experience in tourism, travel, transport, hospitality or another fast-paced customer-facing environment.
- Experience using QuickBooks or similar accounting software.
- Experience with social media, marketing, promotional content or managing business listings.
- Experience dealing with bookings, reservations or scheduling systems.

Pay: From £12.71 per hour
