Sales Office: Sales Administrator
Job Title: Sales Administrator
Reports to: Sales Office Manager
Responsible for: No direct report
Purpose of the role
The Sales Administrator is responsible for supporting the smooth and efficient operation of the Sales Office. The role ensures customer sales orders are processed accurately and promptly, provides a high standard of customer service, and supports internal teams, customers and sales representatives through effective administration, communication and organisation.
Key responsibilities
1. Sales order processing
· Process customer sales orders accurately and promptly using Sage and associated systems.
· Input orders via multiple platforms, including EDI, SEI, iPads and website portals.
· Process international sales orders, ensuring accuracy of data and documentation.
· Maintain copies of all orders within the Document Management System.
2. Customer service & account support
· Handle customer enquiries and orders by telephone and email in a professional and timely manner.
· Monitor and respond to new enquiries, following up where required.
· Manage and develop house accounts, including courtesy calls and follow-ups.
· Deal with customers face-to-face in the showroom and during visits when required.
3. Sales support & administration
· Support telesales activity where required to help grow and maintain accounts.
· Work closely with Sales representatives and internal teams to ensure customer needs are met.
4. Administration & data management
· Maintain accurate customer, order and account data using spreadsheets and internal systems.
· Type, process and manage documentation and electronic information as required.
· File data and carry out routine administrative and clerical tasks.
· Operate standard office equipment and systems effectively.
5. Communication, standards, conduct & compliance
· Communicate clearly and professionally with customers, colleagues and managers.
· Build and maintain effective working relationships across departments.
· Maintain professional standards of attendance, punctuality and presentation.
· Work in accordance with all Company policies, including health & safety, data protection and information security.
· Carry out reasonable duties consistent with the scope of the role to support business needs.
Skills & experience
Essential:
· Experience in a sales or administration environment
· Good IT and organisational skills
· Strong attention to detail and customer service skills
· GCSE Maths and English (Grade C or above or equivalent)
Desirable:
· Sage 200 experience
· Telesales experience
