Construction Office Administrator
Location: Chiswick, London (with occasional site visits across Central London)
Salary: £28,000 – £33,000 per year, depending on experience

We are a high-end construction company based in Chiswick, delivering premium residential and commercial projects across Central London. As we continue to grow, we are looking for a sharp, organised, and proactive Office Administrator to become the backbone of our operations.
The role
This is a varied, fast-paced role at the heart of a busy construction business. You will work closely with our site managers and project managers, keeping everything running smoothly behind the scenes while they focus on delivery on site.
Your day-to-day responsibilities will include:
— Managing and responding to emails on behalf of the business
— Communicating directly with subcontractors: requesting pricing, chasing quotes, and coordinating scheduling
— Placing material and supplier orders accurately and on time
— Tracking project progress and maintaining up-to-date records
— Filing and organising daily site photographs into clearly labelled project folders
— Supporting the team with invoice tracking and maintaining accurate financial records across multiple projects
— Supporting project and site managers with administrative tasks and information requests
— Answering and managing incoming calls professionally
— Reading basic construction drawings and producing purchase lists from them
— Maintaining an organised and efficient office
What we are looking for
We need someone who thrives in a busy environment and takes real pride in keeping things organised. The ideal candidate will have:
— Previous experience in a construction, property, or trade environment (essential)
— A solid understanding of how construction projects run — you know what a subcontractor is, what a day rate means, and why a programme matters
— The ability to read basic construction drawings and extract material or quantity information from them
— Strong written and verbal communication skills
— Confident, professional telephone manner
— Good working knowledge of Microsoft Office or Google Workspace — particularly Excel or Sheets for tracking
— Experience with Xero, QuickBooks, or similar invoicing software (desirable)
— Familiarity with CIS (Construction Industry Scheme) is a bonus but not essential
— Highly organised, self-motivated, and able to manage multiple priorities without dropping the ball
— Based in or able to commute easily to Chiswick, West London
