We are seeking an organised, detail-oriented, and motivated Medical Reports & Insurance Administrator to join our administrative team.
This is an exciting opportunity for an experienced administrator who has a strong understanding of confidentiality, information governance, and medical reporting processes within a healthcare setting.
The Role
The successful candidate will be responsible for managing all aspects of the Practice's non-NHS and private medical work, including insurance reports, solicitor requests, occupational health reports, Subject Access Requests (SARs), and other third-party medical documentation.
You will work closely with GPs, patients, insurance providers, solicitors, and external organisations to ensure requests are processed accurately, efficiently, and in accordance with legislation and practice procedures.
Key Responsibilities
- Process medical report requests from insurance companies, solicitors, employers, and occupational health providers.
- Manage Subject Access Requests (SARs) and ensure compliance with GDPR and information governance requirements.
- Prepare and collate patient records for GP completion of reports and questionnaires.
- Maintain accurate records, tracking systems, invoices, and correspondence.
- Monitor and progress outstanding reports to ensure completion within agreed timescales.
- Liaise professionally with patients, clinicians, insurers, solicitors, and external agencies.
- Calculate fees and process invoices for private medical work.
- Verify patient consent and ensure compliance with confidentiality and data protection legislation.
- Support the Practice in delivering an efficient and high-quality administrative service.
About You
We are looking for someone who can demonstrate:
Essential
- Previous administrative experience within a GP Practice, NHS, healthcare, insurance, legal, or similarly regulated environment.
- Experience handling confidential and sensitive information.
- Strong organisational skills and the ability to manage a high-volume workload.
- Excellent written and verbal communication skills.
- A high level of accuracy and attention to detail.
- Experience using EMIS Web, SystmOne, or similar clinical systems.
- Good working knowledge of Microsoft Office, including Outlook, Word, and Excel.
- The ability to work independently and use initiative.
- Excellent customer service skills and a professional approach.
Desirable
- Experience managing private GP work, medical reports, or insurance documentation.
- Knowledge of the Access to Medical Reports Act 1988.
- Understanding of NHS administration processes and information governance requirements.
- Experience processing Subject Access Requests (SARs).
