OPERATIONAL BOOKINGS ADMINISTRATOR - NO REMOTE WORK, OFFICE BASED ROLE
Monday to Friday - 08.30am - 4.30pm or 9.00am - 5.00pm (37.5 hours per week)
Salary - £28,250 per annum
- Temp to Perm possibility - initial 3 month contract
- Must be available for immediate start
PURPOSE OF THE ROLE
To support the efficient operation of the Office, including bookings and machinery service delivery. Predominantly working with colleagues in the office but having direct contact with other members of staff and external stakeholders.
ROLE AND RESPONSIBILITIES
Reporting to the Office Manager and supporting the whole team, the main duties include:
- Answer incoming telephone calls being the first point of contact for internal and external stakeholders
- Responding to customer requests, dealing with all enquiries and queries
- Make all bookings with external suppliers
- Raising purchase orders on Sage accounting system
- Responsible for the day-to-day management of the service delivery
- Planning, booking and organising services, breakdowns and repairs understanding SLAs for each customer
- Processing parts orders and managing stocks, ensuring availability for our engineers
- Maintaining the master spreadsheet detailing all machinery and relevant information
- Use the Out on Site portal for booking engineer’s work
- Be aware of new machinery, delivery dates and servicing requirements to aid updating of the master spreadsheet
- Liaise with finance for all client invoicing
- Producing a monthly update on current machinery and service/repair data
- Filing and any other administration tasks as required by the organisation
SKILLS AND EXPERIENCE
- Excellent communication skills, both written and verbal
- A knowledge of Sage 50 would be desirable but not essential
- Proficient customer service skills with the confidence to effectively communicate via telephone when resolving queries
- Good working knowledge of Microsoft Office
- Strong numeracy skills and attention to detail to process data and information accurately
- Ability to prioritise own workload with minimal supervision and use of own initiative
- Highly organized with a proactive natured based approach
- Team player with a flexible approach
