About the Role
As a Patient Services Administrator, you will be at the heart of our operational team, providing essential administrative support across our healthcare projects. Acting as a central point of contact for patients, carers, nurses, NHS Healthcare Professionals, and homecare delivery providers, you will help ensure the smooth delivery of safe, effective, and patient-centred care.
This is a varied role that requires excellent communication skills, strong attention to detail, and the ability to manage multiple priorities within a busy and supportive team environment.

Key Responsibilities
- Act as a first point of contact for patients and carers, delivering a professional, empathetic, and high-quality service.
- Manage patient referrals and appointments using the Apodi Patient Management System.
- Coordinate nurse diaries and schedule patient appointments.
- Process incoming and outgoing telephone calls and respond to patient and healthcare professional enquiries.
- Upload and maintain accurate patient records and documentation within internal systems.
- Prepare and send required documentation to NHS Trusts and other stakeholders.
- Conduct weekly reconciliation activities to ensure patient records are accurate and complete.
- Support pharmacovigilance activities by processing and documenting adverse events within the Radar AE system.
- Maintain accurate data entry across patient management, appointment, reporting, and adverse event systems.
- Support shared mailbox management and correspondence handling.
- Assist with incoming and outgoing post.
- Contribute to audits, reporting, and quality improvement initiatives.
About You

Essential Requirements
- Previous administration experience.
- Strong customer service skills.
- Ability to handle confidential and sensitive information appropriately.
- Excellent time management and organisational skills.
- Experience working effectively as part of a team.
- GCSE (or equivalent) Grade 4/C or above in English and Maths.
- Good working knowledge of Microsoft Office applications, including Word, Excel, and Teams.
Desirable
- Experience working within a healthcare environment.
- Familiarity with patient management systems.
- Understanding of healthcare administration processes.
