Administrative & Training Support Assistant Care Training and Consultancy CIC**
Hours: Monday to Friday, 9am – 2.30pm (25 hours per week) Location: Browne House, The Crichton, Dumfries, DG1 4ZZ Reports to: General Manager
About the Role
Care Training and Consultancy CIC is seeking a motivated and professional Administrative & Training Support Assistant to join our team. This role is central to ensuring a welcoming environment for learners and providing high‑quality administrative support across our training and SVQ services. You’ll be part of a friendly, dedicated team committed to supporting the health and social care workforce.
Key Responsibilities
Front‑of‑House & Learner Support
- Meet and greet learners, ensuring a warm and professional welcome.
- Provide reception duties, including answering telephone calls and assisting visitors.
- Respond to telephone and email enquiries in a professional and timely manner.
Training Support
- Prepare, reset, and maintain training rooms and learning environments.
- Support the training team with day‑to‑day coordination, including photocopying, booking arrangements, room readiness, and processing evaluations.
- Assist with online learning platforms such as Learning Assistant, Moodle, and Microsoft Teams.
- Generating and issuing training certificates to course participants.
Administrative Duties
- General administrative tasks including filing, copying, scanning, and archiving.
- Support the administrative team in managing the learner journey for both training and SVQ programmes.
- Liaise with the Business Support Officer across all aspects of CTC business.
SVQ Support
- Assist the SVQ Head of Centre with portfolio administration and quality processes as required.
- Support the SVQ team with digital systems and learner communication.
Unpaid Carer Team Support
· Develop an understanding of the crucial role Unpaid Paid Carers have in the current health and social care climate
· Booking venues for training sessions
· Generating monthly reports
· Signposting Unpaid Carers to the correct team member or service who can help
· Develop working relationships with multi-disciplinary teams regarding CTC work with Unpaid Carers
Marketing & Communications
- Support marketing activities when required, including social media updates, website content, and Facebook posts.
- Maintain a professional and customer‑focused approach in all communications.
Skills, Experience & Attributes
Essential
- Previous office experience or equivalent.
- SVQ in Business and Administration (or equivalent qualification).
- Excellent written and verbal communication skills.
- Strong IT skills, including Microsoft Office; confidence using systems such as Checkfront and SharePoint.
- Ability to work both independently and as part of a team.
- Professional manner and customer‑focused approach.
- Efficient time management, patience, and attentiveness.
- Understanding of the health and social care sector (or willingness to develop this).
- Familiarity with quality assurance and audit processes.
- Willingness to learn and develop new skills.
Desirable
- Experience with digital marketing or an interest in developing these skills.
- Project management experience.
- Experience supporting training or education environments.
