Part time office based Service Co Ordinator - 25 hours per week on a fixed-term basis for 3 months
Brief
To assist the co-ordinators with invoicing, report forwarding, verifying timesheets & expenses, order input & parts sourcing, whilst dealing with associated administration and maintaining good client relations and level of service
Main duties & Responsibilities
· Professional Approach to clients and colleagues.
· Check engineer’s time sheets on FocalPoint for accuracy.
· Acceptance of customer works from Sales and inputting as required.
· To handle Verisae calls and assists the regional coordinators with scheduling.
· Processing reports after they have been reviewed for technical accuracy.
· Assisting with Invoicing as required with regional coordinators.
· Order equipment & Office consumables as required.
· Organise hotel and meeting room bookings.
· Use client service management portals.
· Checking expense claims for accuracy.
· Assist with weekly & monthly reporting.
· Job varied, as the candidate will be assigned a variety of tasks within the regional helpdesks.
· Office attendance would be required.
Specific Job Knowledge & Skills & Experience
Essential
· Strong communication skills.
· Can work under pressure.
· Must have customer service experience.
· Working knowledge of Excel, Word and Outlook.
· Flexible approach.
Desirable but not essential
· Working within a busy service environment.
· “Front line” communication experience with customers.
· Managing customer expectations.
· Use of Microsoft Focalpoint & Verisae or equivalent (for example Sage).
· Experience in scheduling would be beneficial.
