Role Title: Service Controller/General Administrator
Purpose of role:
To be a point of contact for clients and to provide a full administrative support service including allocating calls to engineers, completing Asset Lists, Completing F-Gas Logs & General Admin Tasks.
As the job holder may be required to deal with customers, they will be expected to represent the organisation positively.
Reports to:
Managing Director & Office Mangager
Also when the above not available and for any day to day service/quotation/maintenance decisions will liaise with Max Parker in the absence or if unable to contact one of the above by phone
Reportees: Engineering staff, when day to day requests for order number, job numbers etc.
Location: Office based Monday to Friday 8.00am to 4.30pm
Main Duties
- To provide the highest level of customer service to clients at all times. This is either in face to face contact or via the telephone; internet or e-mail.
- To ensure that telephone enquiries are dealt with as quickly as possible in a professional manner, referring to more senior members of staff as appropriate.
- General administrative duties including filing, answering phone calls, photocopying, responding to emails and scheduling meetings and other office activities, along with allocating calls to engineers, ordering materials and so on.
- Typing of office communications, letters and documents
- Updating office manuals and brochures
- Managing electronic and printed files
- Preparing, logging and filing sales/service quotations
- Maintaining high standards in terms of personal appearance, conduct and respect of Company property.
- The job holder will carry out such other reasonable tasks that may from time to time be allocated.
- Checking engineer’s timesheets with report sheets to ensure hours tally up with what’s booked on time sheet.
Training and Development
- The job holder will attend training courses, Company meetings and other team events as required.
- Maintain your knowledge of the Company and the industry.

Qualifications, skills and knowledge required to do this role:
- Highly developed communication skills both written and verbal
- Self motivated and disciplined
- Able to follow instructions, and take advice where needed
- Ability to manage budgets
- Persuasive with excellent negotiation skills
- Ability to work flexibly to meet constantly changing work flows and priorities
- High degree of computer literacy
- Advanced word processing skills
- English and Maths to GCSE or equivalent
- Team player
This role profile is not exhaustive, it will be subject to periodic review and may be amended to meet the changing needs of the business. The post holder will be expected to participate in this process and A1R Services would aim to reach agreement to the changes.
