Administrator / Receptionist (Part Time or Full Time – 22.5 to 37.5 Hours per Week)
Monday to Friday, working a combination of the following shift patterns:
- Morning Shift: 7:45am – 3:45pm
- Afternoon Shift: 10:45am – 6:45pm
Flexibility to work both shift patterns is required.
We're looking for a friendly, organised, and customer-focused Administrator / Receptionist to join our welcoming team at St Luke's Surgery.
At St Luke's Surgery, our Administrator / Reception team plays a vital role in delivering a welcoming, professional, and compassionate service to our patients. As the first point of contact, you'll support patients face-to-face, over the telephone, and through a variety of administrative tasks, helping to ensure the smooth running of the practice. This varied and rewarding role offers the opportunity to work as part of a friendly and dedicated team, contributing to a high standard of patient care and service every day.
About the Role
As an Administrator / Receptionist, you will provide both front-line reception services and administrative support to help ensure the smooth running of the practice.
Working within a busy GP surgery, you'll regularly interact with patients who may be unwell, anxious, upset, or confused. The ability to remain calm, empathetic, and professional under pressure is essential.
You'll become an integral member of our practice team and will receive full training and ongoing support to help you succeed in the role.
Key Responsibilities
Reception Duties
- Handling patient enquiries with professionalism, empathy, and efficiency
- Maintaining confidentiality at all times
- Welcoming patients and visitors to the surgery
- Booking and managing appointments
- Checking patients in for consultations
- Answering and managing telephone calls
- Processing repeat prescription requests
Administration Duties
- Scanning and processing patient correspondence
- Filing and maintaining accurate patient records
- Supporting general office and administrative functions
- Assisting colleagues to ensure smooth patient journeys
- Undertaking a variety of administrative tasks as required by the Practice Management Team
Duties may vary from time to time depending on the needs of the practice and changing workloads.
Who We're Looking For

- Previous experience in a healthcare, administrative, reception, or public-facing role
- Strong customer service skills gained through healthcare, hospitality, retail, administration, or similar environments
- The ability to work effectively as part of a busy team
- Resilience and the ability to remain calm under pressure
- Excellent communication and interpersonal skills
- A positive, proactive, and solution-focused approach
- Strong organisational skills and attention to detail
- Good literacy, keyboard, and IT skills
Most importantly, we're looking for someone who genuinely enjoys helping people and is committed to delivering excellent patient care and service.
Desirable Skills and Experience
- Experience working in a GP practice or NHS setting
- Knowledge of EMIS clinical software
- Strong computer and administrative skills

Salary £14.21 per hour rising to £15.01 per hour after a successful 6 month probation period.
