An exciting opportunity has arisen for a Facilities Services Assistant to join Rotherham Council's Facilities Services team. This is a fantastic opportunity for someone with strong administrative, customer service and IT skills who enjoys working in a fast-paced environment and takes pride in providing high-quality support.
As a Facilities Services Administrator, you will play an important role in supporting the day-to-day operation of the service, ensuring that administrative processes are delivered efficiently and accurately. You will work closely with colleagues, customers, contractors and stakeholders across a range of service areas, helping to ensure the smooth running of essential council services.
What You'll Be Doing

Providing comprehensive administrative support across Facilities Services.
- Inputting, maintaining and updating data across a range of systems and databases.
- Supporting the administration of employee absence management processes.
- Assisting with recruitment administration, including arranging interviews, processing documentation and maintaining recruitment records.
- Providing support to the Facilities Helpdesk, responding to enquiries and directing requests appropriately.
- Handling telephone, email and face-to-face enquiries in a professional and customer-focused manner.
- Processing orders, service requests, invoices and other administrative documentation.
- Producing letters, reports, spreadsheets and correspondence using Microsoft Office applications.
- Maintaining accurate records in line with data protection, financial and audit requirements.
- Managing incoming and outgoing post and undertaking general office administration duties.
- Building positive working relationships with colleagues, customers and external stakeholders.
About You
We are looking for someone who:

Has excellent administrative and organisational skills.
- Demonstrates strong attention to detail and accuracy.
- Is confident using Microsoft Office applications, particularly Excel, Word and Outlook.
- Has experience of data entry and maintaining accurate records.
- Can handle confidential and sensitive information appropriately.
- Has excellent communication and customer service skills.
- Can manage competing priorities and work effectively under pressure.
- Works well as part of a team and can also use their own initiative.
- Has a positive, flexible and professional approach to work.
