About the Role
We are looking for an experienced and motivated Lettings Administrator to support the administration of a portfolio of 120 residential and commercial properties, ensuring high standards of service delivery, legal compliance, tenant satisfaction and asset performance.
This role involves supporting the administrative tasks associated with the lettings process. You will be responsible for handling enquiries, coordinating viewings, assisting with tenant applications and helping to ensure a smooth and compliant tenancy process from start to finish. You will play a key role in supporting the lettings operation and maintaining the smooth day-to-day running of the office.
Key Responsibilities
- Handle tenant enquiries, supporting the Property Manager to ensure queries are actioned appropriately and efficiently. This may include coordinating with the wider M&A Management team and liaising with external contractors where required.
- Schedule and conduct property viewings for prospective tenants.
- Create, maintain and update property listings on platforms such as Rightmove and Zoopla.
- Support the management of tenant applications, including referencing checks and processing documentation.
- Assist with the preparation of tenancy agreements and inventories.
- Support tenant check-in and check-out processes.
- Assist with arranging and conducting regular property inspections, providing detailed reports to the Property Manager.
- Support the maintenance of accurate property records and the rental applicant database.
- Assist with maintaining accurate tenancy and property documentation.
- Support compliance with lettings regulations and company procedures.
- Assist with general office administration and the smooth running of the lettings function.
- Act as a point of support and provide cover for the Property Manager during periods of absence to help maintain continuity of service.
Skills & Experience
- Previous experience in lettings administration is required, with a solid understanding of the lettings process.
- Strong organisational skills and the ability to manage multiple tasks effectively.
- A proactive, self-motivated approach with the ability to work independently.
- Excellent attention to detail and accuracy.
- Strong communication and customer service skills.
- Proficiency in Google Workspace, including Google Docs and Google Sheets.
- Experience with property management software is desirable.
- A full UK driving licence and access to a vehicle is beneficial.
