The Role
As a Patient Services Administrator, you will be the first point of contact for many of our patients, providing a professional, welcoming and efficient service both face-to-face and over the telephone.
Working as part of our Patient Services Team, you will support the smooth day-to-day running of the practice by managing patient enquiries, appointments, administrative processes and communication between patients and clinical teams.
This is a varied and rewarding role requiring excellent communication skills, attention to detail and a genuine commitment to patient care.
Key ResponsibilitiesPatient Contact & Customer Service
- Welcome patients and visitors to the practice in a professional and friendly manner.
- Handle incoming telephone calls promptly and effectively.
- Respond to patient enquiries, providing information and support where appropriate.
- Signpost patients to the most appropriate service or healthcare professional.
- Manage patient requests sensitively and confidentially.
Appointment Management
- Book, amend and cancel appointments using the clinical system.
- Support patients in accessing the most appropriate appointment or service.
- Manage appointment availability and waiting lists as required.
- Assist with recall and invitation processes.
Administrative Duties
- Process incoming and outgoing correspondence.
- Scan, file and accurately record patient information.
- Register new patients and maintain patient records.
- Support prescription administration processes.
- Assist with referrals and other patient-related administrative tasks.
- Maintain accurate records in accordance with practice procedures.
Team Working
- Work collaboratively with clinicians, supervisors and colleagues across the practice.
- Support the delivery of service improvements and new ways of working.
- Participate in team meetings and training sessions.
- Contribute positively to a culture of respect, professionalism and continuous improvement.
Compliance & Confidentiality
- Adhere to GDPR, confidentiality and information governance requirements.
- Follow practice policies and procedures at all times.
- Maintain awareness of safeguarding responsibilities and patient safety requirements.

Desirable
- Previous experience in a GP Practice, NHS or healthcare environment.
- Knowledge of appointment systems and patient administration processes.
- Experience using clinical systems such as EMIS Web.
- Understanding of NHS primary care services.

Pay: £24,420.00-£35,496.24 per year
