Job Overview
We are a busy Building Surveying, Project Management and Property Maintenance consultancy based in spacious offices in Barnes, next to Hammersmith Bridge. We work across a diverse portfolio of residential, commercial and mixed-use properties throughout London, delivering building surveys, specifications, reports, party wall services and licences.
We are looking for an experienced and proactive Team Administrator to support the wider business, with a particular focus on our Building Surveying team. This is a varied and fast-paced role requiring excellent organisational skills, attention to detail and the ability to manage multiple priorities effectively.
About You
To be successful in this role, you will have:
- A minimum of 1 year's experience in a team administration role
- Strong IT skills, including Microsoft Office, with intermediate Excel skills essential
- Excellent organisational skills and a high level of attention to detail
- Strong problem-solving abilities and a proactive approach to improving processes
- A reliable, self-motivated attitude and the ability to work independently
- Flexibility and the ability to manage a varied workload
- A friendly, approachable personality with a good sense of humour
- Previous administration experience within the building surveying, construction or property management sectors would be advantageous
Key Responsibilities General Office Management
General Office Management
- Oversee the day-to-day running of the office
- Act as the first point of contact for incoming telephone calls and enquiries
- Maintain and update the database of approved contractors and consultants
- Manage annual company insurance renewals
- Provide ad hoc diary management support
- Coordinate IT equipment maintenance and office supplies
- Organise staff events and liaise with external service providers, including cleaning and utility companies
HR Administration
- Maintain accurate staff holiday and sickness records
- Support the onboarding and induction of new employees
- Assist with general HR administration as required
Building Surveying Team Support
- Coordinate meetings and appointments for surveyors
- Provide administrative support for tender processes, contractor liaison and follow-up actions
- Update and maintain the daily works tracker
- Edit, format and prepare professional documents, including reports, schedules of works, specifications and site meeting minutes
- Prepare and issue tender documentation
- Monitor tender deadlines and compile tender analysis spreadsheets
- Accurately input and manage tender figures and related data
