Were now looking for a Quality Assurance Advisor / Deputy Responsible Person to strengthen our GDP compliance and quality systems.

The Role

This is a pivotal, hands-on role combining pharmaceutical quality assurance with Good Distribution Practice (GDP) oversight.

As Quality Assurance Advisor / Deputy Responsible Person, you will support the management and ongoing development of our Quality Management System, audit programme and regulatory documentation. You will also provide GDP assurance across areas such as temperature and stock oversight, supplier checks, complaints, deviations, CAPAs, audits and inspection readiness.

You will act as an independent assurance line for the business, helping to ensure that our distribution activities remain safe, compliant, well-documented and inspection-ready. This role is also designed to support development towards being named as Deputy Responsible Person on our WDA(H) licence.

What Youll Do

You will support and maintain the local Quality Management System, ensuring that controlled documents, SOPs, policies and quality records are kept up to date and aligned with relevant regulatory requirements.
Key responsibilities will include:
- Maintaining and developing the QMS/eQMS, including controlled documentation, SOPs, policies and quality records.
- Supporting the Responsible Person with delegated GDP duties and WDA(H) licence requirements.
- Investigating deviations, complaints, incidents, quality defects and non-conformances, ensuring CAPAs are recorded, followed up and closed effectively.
- Managing or supporting change controls, risk assessments and quality improvement actions.
- Planning, conducting and documenting internal audits, self-inspections, supplier audits and GDP spot checks.
- Maintaining audit schedules and supporting preparation for MHRA, GPhC and other regulatory or customer audits.
- Carrying out GDP gap analyses and ensuring SOPs remain aligned with MHRA, GPhC and GDP guidance.
- Reviewing temperature monitoring records, temperature excursions, cold-chain processes, mapping and calibration activities.
- Supporting the approval and ongoing monitoring of suppliers, customers, subcontractors and service providers.
- Conducting bona fide supplier and customer checks and ensuring appropriate records are maintained.
- Supporting product returns, recalls, mock recall exercises and decisions relating to returned, rejected, recalled or potentially falsified products.
- Supporting packing validation, process validation and Computer Systems Validation activity for relevant PHP systems.
- Delivering GDP and quality training to colleagues and supporting ongoing training records.
- Reporting quality metrics, trends, risks and improvement actions to internal stakeholders.
- Maintaining up-to-date knowledge of relevant pharmaceutical legislation, GDP guidance and quality requirements, and communicating key updates to the business.
- Supporting the preparation and review of Quality Management Reviews, quality agreements, organisational charts, job descriptions, training records and other quality documentation as required.
- Working with internal teams and external partners to resolve GDP-related queries, including delivery issues, transportation conditions and temperature excursions.

What Were Looking For

We are looking for someone with strong quality, compliance or governance experience within a regulated pharmaceutical, healthcare or life sciences environment.
The successful candidate will be confident working with quality systems, documentation, audits and regulatory expectations, while also being able to communicate clearly and practically with colleagues across the business.
You will need:
- Experience in QA, compliance, governance or quality systems within a regulated pharmaceutical, healthcare or life sciences environment.
- Working knowledge of GDP, MHRA and GPhC requirements.
- Understanding of quality system processes, including deviations, CAPAs, change controls, complaints, audits and supplier management.
- Strong attention to detail and the ability to maintain accurate, organised and inspection-ready records.
- Experience supporting audits, inspections, documentation reviews or quality improvement activity.
- Confidence in reviewing SOPs, policies, quality records and controlled documents.
- Good communication skills, with the ability to advise colleagues clearly and professionally at all levels.
- A proactive, independent and reliable approach to work.
- Good organisational skills, with the ability to manage competing priorities and deadlines.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint and Teams.
- Willingness to develop further in GDP responsibilities and progress towards Deputy Responsible Person status.
- Experience with eQMS platforms, document control systems or validation activity.
- Experience supporting MHRA inspections, supplier audits or customer audits.
- Knowledge of ISO 9001, ISO 27001, UK GDPR or information governance requirements.
Desirable Experience
The following would be advantageous but is not essential:
- Previous experience as a Deputy Responsible Person or working closely with a Responsible Person.
- Eligibility to be named on a WDA(H) licence.
- A degree in pharmacy, chemistry, biology, medicine, pharmaceutical sciences or another relevant life science subject.
- Membership of a relevant professional body with a published code of conduct.
- Experience in cold-chain management, temperature excursions, stock control, recalls or product returns.
