About the Role
We are seeking an organised and proactive Administrative Assistant to join our growing Genealogy Department based in Braintree. This is an excellent opportunity for an individual with strong administrative skills who enjoys working in a fast-paced, client-focused environment.
The successful candidate will provide essential support to key members of the team, assisting with day-to-day operations and helping to ensure the smooth and efficient running of the department.
Key Responsibilities
- Preparing, drafting, and amending correspondence, contracts, and family tree reports.
- Managing case files, maintaining accurate records, and undertaking general filing duties.
- Processing invoices using QuickBooks.
- Obtaining certificates and other official documentation.
- Processing orders through our bespoke will-finding software.
- Maintaining caseload spreadsheets and ensuring deadlines are met.
- Contacting clients to obtain information relating to probate and heir-tracing matters.
- Developing an understanding of intestacy rules and probate processes.
- Liaising professionally with clients, solicitors, probate practitioners, and will-writing companies.
- Identifying opportunities to cross-refer wills and probate leads where appropriate.
- Answering incoming telephone calls and handling enquiries efficiently.
- Accurate data entry and database management.
- Assisting with social media marketing activities, including LinkedIn and other online platforms.
The ideal candidate will have:
- Excellent written and verbal communication skills.
- Strong organisational skills with the ability to manage multiple tasks and deadlines.
- High attention to detail and accuracy.
- Confidence using Microsoft Office applications and database systems.
- Experience with QuickBooks (desirable but not essential).
- A professional and courteous telephone manner.
- The ability to work independently as well as part of a team.
- An interest in genealogy, probate, legal services, or family history research would be advantageous.
Pay: £12.71 per hour
